To Transfer to Voic Press: Press: 8 then * Enter mailbox number Press: Trans/Conf Release Me
SuperKey The SuperKey will take you to another menu where you will find the following functions: Phone Book Reminder Messaging Calculator Queue Status More…(Hit more to get to the next page of SoftKeys) Forwarding Speed Call Callbacks Ring Adjust More…(Hit more again to get to the next page of SoftKeys) Display Keys Day/Night Clean LCD Language Select SuperKey to get back to the main screen menu
Hold Key When you are on the telephone and wish to place a call on hold, press the red Hold key. You will see a blinking light next to the line that is on hold. When ready to return to your call, press the extension key next to the blinking light.
Speaker Key Press the Speaker key if you wish to listen to a caller hands-free.
Up and Down Arrow Keys The Up and Down Arrow Keys can be used to adjust the volume of the telephone, ringer and speakerphone.
Personal Keys All of the red circles indicate the keys on the phone that are added by the NPF. The following slides will explain which keys do what.
Direct Page To page an individual, press the Direct Page key, then their extension This will put you “live” into their office
Forward Calls to Alternate Number To forward calls to another number: 1.Press Forward Always 2.Dial number of the phone you want to have your calls forward to 3.Follow the yes and no prompts 4.Hit Superkey to get back to menu
Voic Login The Voic Login key is a shortcut to your voic . Later in this presentation we will explain how to get to your voic using other methods. After clicking this key, enter your passcode and listen to the prompts to select what you would like to do next.
Message Indicator Light When the Message Indicator light is flashing, it indicates you have a voic message on your personal line. Read through the following slides to learn how to access your message.
How to Set Up Your Mailbox (without using the voic login key) To access your mailbox press the 8 key and access your passcode. Upon hire, your passcode will be 1234, change it to something you can remember. Press M (6) to make a new message Press U (8) to change user options Press X (9) to exit to main menu Press 0 to return to attendant Press # to dial extension
User Options When you press the 8 key, this is the list of options it will give you. Once you are in each of these options, follow the prompts to do the task you want to complete. Change Greeting: Change your voic greeting Change Name: Change the name people will hear when they leave a message Change Passcode: The number you use to get into your mailbox Distribution Lists: Allows you to record one message and send it to a large amount of people Call Schedule Operations: Allows your phone to call you at a certain time, for a wake up call for example Tutorial: Gives you directions on how to use the phone Exit to Main Menu: Get back to the main menu Fax Delivery Options: Fax messages that are sent to your inbox
Listening to Voic s When you see a blinking light on the top right corner, you have a voic waiting. Press 8 to get to you mailbox Enter passcode Once you are in User Options it will notify you that you have a message
Retrieving Voic When Not in the Office To access voic when you are not in the office you need to… 1.Call your office phone 2.When you hear your voic press * Key 3.Enter passcode when prompted 4.Follow the prompts to listen to the voic
How to Change Your Greeting (On vacation, out of the office, sick, etc.) 1.Enter the 8 key 2.Enter passcode 3.Press 8 key again for user options 4.Press 4 to change greeting 5.Press 4 again to change extended absence greeting 6.Press 7 to record extended absence greeting 7.Press 3 to enable (activate) your extended absence greeting This will turn off your normal greeting To turn off your extended absence greeting: 1.Enter 8 key 2.Enter passcode 3.Press 8 key for user options 4.Press 3 to disable extended absence greeting You have reached “Name”. I will be away from the office between the dates of 12/24/13-1/7/14. Please leave a message and I will return your call as soon as I return to the office. Happy New Year.
