Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January NA1 AND PROJECT-WIDE REVIEW RECOMMENDATIONS

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 1 “Perform partner audits on a regular basis to ensure that the partner quality programme is seriously implemented at all partner sites. This will ease the demanding reporting process significantly” Response: Partner audits, similar to those performed by SA1 during the 1 st year of EGEE-II, will be implemented on a trial basis by the other activities during the 2 nd year Follow up: All activities had partner reviews, overall coordination and feedback through QAG Needs to be summarized in the final periodic report input from each activity required, coordinated by JRA2

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 2 “Continue to give top priority to the stability of gLite, which is the most immediate issue for continued quality of service” The stability of the gLite middleware is the highest priority of the JRA1 and SA3 activities. The gLite restructuring plan has been engaged by the project as a means of re-enforcing the long-term stability of gLite Follow-up: Focus of 2007 was on gLite restructuring; more details will be given later by Claudio Grandi/John White

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 3 “Make personnel planning a continuous, pro-active process with a long- term view of five years with all partners and their parent organisations actively involved” The Project Management Board will plan and track personnel planning for EGEE-II and any successor projects. Follow-up: The management activity set up a questionnaire, sent to Collaboration Board representatives, to determine the contract policies in place for their collaborators as well as the retention of staff foreseen for EGEE-III. Approximately 87% of current staff is estimated to be retained for EGEE-III. The questionnaire also included questions regarding measures which would help staff retention.

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 4 “Consider a systematic approach to tapping into the tacit knowledge in the project, e.g. know-how, skills and experience that exist in people and best practices, but not necessarily in documented form, by transfer to explicit form and by measures to aid personnel planning” Follow-up: Key project deliverables have had a “lessons learned” section added to ensure the knowledge is built upon and retained.

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 5 “Strengthen the membership of the External Advisory Committee by the addition of one or more representatives from companies active in the vertical markets of interest” Follow-up: Dr. Rolf Kubli, based in Zurich, Switzerland, is the Chief Technology Officer for EDS Switzerland and as such he will give us valuable input from the business sector. He became a formal member of the EAC in September 2007.

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 6 “Encourage all partners to include a reference on the GAP pages of the web site to their gender policy or to subscribe to the statement of intent” The GAP pages on the project website have been updated and currently include 41 member institutes who have pre-existing and established equal opportunity policies in addition to 31 members who have signed the EGEE statement of intent EOP/partners.htm Follow-up: The activities of the GAP Team will be fully reported in the DNA1.3.2 deliverable.

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 7 “In preparing the new project management structure in any proposals for successor projects to EGEE-II, draw lessons from experiences of the existing project management structure. The reviewers regard the separation of strategic and operational management to be one of the strengths of the current structure. However, the relationship between responsibilities, tasks and authorities in the many cross activity groups is unclear and should be better equilibrated in the future structure” The separation of strategic and operational management will continue in the successor project and the responsibilities, tasks and authorities will be clarified for cross activity groups. Follow-up: The successor project to EGEE-II will see the set-up of an Activity Managers’ Board (AMB) and a Technical Management Board (TMB) to clearly separate technical issues from other issues. All cross-activity groups are clearly under the responsibility of a lead activity –Exception: SCG has rotating chair and is reporting directly to the TMB

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 8 “In preparing the new project management structure in any proposals for successor projects to EGEE-II, ensure that major technical decisions are only taken after consideration of the ‘make or buy’ issues and that there is budget flexibility to enable this.” What are the criteria for determining if EGEE-III should make or buy? What areas are to be considered: e.g. middleware, operations, user support? Budget flexibility implies not pre-allocating all money to manpower at the project proposal Follow-up: In MNA1.2.2 observed service characteristic are reported that, together with an analysis of standardization efforts by NA5, provide an initial basis for “make or buy” issues. The TCG is considering both internal developments as well as external systems when assessing how to meet application requirements. This will continue in the EGEE-III TMB. NA4 has set up the RESPECT program that collects useful 3 rd party software. In EGEE-III all money has been allocated to personnel (except small pots in NA2, NA4, SA1) – no real budget flexibility

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 9 “In preparing any proposals for successor projects to EGEE-II, strengthen the staffing in the project-wide quality assurance function” Follow-up: The QA approach includes QA participation in all activities, a dedicated Quality Assurance Group as well as a well-defined federation review process involving all partners in the federation in question.

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 10 “At the next review, give more prominence to and present more information on JRA2 quality assurance and related activities” More time will be allocated to the presentation of quality assurance in the agenda of the next review Need to schedule such a presentation, led by JRA2 Which QA aspects to emphasize? – report suggests end user quality of service (i.e. reliability, stability etc.) and software metrics “The reviewers regret that statistics on software metrics could not be presented, as this information was not available due to the transition to the new ETICS build system. The measures of robustness and reliability of the production infrastructure are still very rudimentary.” List those related projects that have adopted aspects of the QA process from EGEE

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 11 “At the next review, provide a focused presentation/assessment on achievements towards inter-operability between gLite and ARC/UNICORE” Presentations dedicated to the assessment of the inter-operability between gLite and ARC/UNICORE will be scheduled at the next review Need to schedule such a presentation, led by SA3 Report text: “There are some technical issues of high impact on the success of the project such as gLite restructuring and inter-operability with ARC and UNICORE” “Problems of inter-operability, especially with UNICORE and ARC, do not seem to be addressed in a timely way while in the short term OMII-Europe is not likely to help.” “The reviewers were also concerned that work on inter-operability of gLite with ARC and UNICORE has been also slower than expected.” Linked to recommendations 16 & 17

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 13 “In dealing with industry, emphasise that the EGEE-II project is following an exemplary path towards the standardisation issue. The EGEE-II middleware implements a service- oriented architecture that virtualises resources, adheres to recommendations on web service inter-operability, and is intended to be compliant with accepted standards for the web service foundation stack as they become available. The reviewers feel this is potentially a fundamental strength of the gLite middleware.” Follow-up: NA2 produced industry tailored material. Recommendation should be covered by NA2 during the review

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 15 “Formalise co-operation with OMII-Europe to exploit the potential for synergy in the areas of inter-operability and standardisation” Meeting with OMII-Europe to formalise co-operation was held on 3 rd July Agreed that: Joint EGEE/OMII-Europe session will be held at EGEE’07 to identify those components delivered by OMII-Europe that can be integrated into the gLite distribution before the end of EGEE-II Project management will meet each quarter Follow-up: Short and mid term goals have been mutually agreed in a joint session at EGEE’07 Further discussions held at EU concertation meeting at Sophia Antipolis in December 2007 Follow-up needs to happen at User Forum

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 16 “Formalise co-operation with DEISA with a view to improving the interoperability between gLite and UNICORE” Will organise similar meeting to that held with OMII- Europe with DEISA. Also intend to invite DEISA leadership to infrastructure meeting tentatively being scheduled for OGF22 (Jan’08) Follow-up: Close contacts with DEISA and DEISA-2 leadership established; will take part at policy meeting scheduled for OGF22.

Enabling Grids for E-sciencE EGEE-II INFSO-RI Erwin Laure - All Activity meeting, Sofia, January Recommendation 17 “Initiate specific efforts to ensure that inter-operability of gLite with ARC and UNICORE is achieved before the end of the project” Follow-up: This was a major topic in the SA3 partner review in May and a revised workplan has been agreed SA3 will report on the status in their session This recommendation should be covered by SA3 during the review
