Project Timeline Deadline for review: XX/XX/20XX Documentation complete: XX/XX/20XX Product Release: XX/XX/20XX

Where are the documents? The Word documents for this project are stored on the SharePoint Server at: mentationLibrary/Forms/AllItems.aspx mentationLibrary/Forms/AllItems.aspx If you cannot access this folder, or you can access the folder, but can’t check out documents, please contact

Starting a Review In SharePoint, check out the document you wish to edit. Open the document, then turn on “Track Changes” in Word. To do so: 1.Click the Review tab. 2.Click the Track Changes button. 3.Choose Track Changes.

Working with “Track Changes” Track changes will display all of your changes in red, with underlining. (The changes of others will also appear in color with underlining.) If you find it hard to work this way, you can choose to change the view. Go to the Review tab and click the drop-down to the right of the Track Changes button. Choose “Final” from the list. Please note that when you hover over any change, the initials of the person who made it will display in a popup.

Adding your Comments If you would simply like to comment on some of the text or a graphic (noting it needs to be double- checked, etc.), use the Commenting feature in Word. 1.Select the text or graphic you would like to comment on. 2.On the Review tab, click the New Comment button. 3.Add your comment. It will be flagged with your initials automatically.

Working with Comments Comments display by default in “balloons.” If you don’t like this display, you can change it. Click the Balloons button and choose Show All Revisions Inline. (In Word 2010, the Balloons menu is under the Show Markup drop-down.) You can also view all changes in a single Reviewing Pane, click on the Reviewing Pane drop-down and choose Vertical or Horizontal.

Reviewing Tips Some tips when adding changes/reviewing: If you add a change and decided against it, you can hit the Undo button in Word. Or put your cursor within the edit (the red text with underlining) and click the Reject button. You can navigate through all changes quickly using the Previous and Next buttons next to the Reject Changes button. If you add a comment and would like to delete it, click on the Comment “balloon”, right-click, and choose Delete Comment.

Finishing a Review 1.If you changed the View to Final, please change it back to Final Showing Markup (so that all the changes are displayed). 2.Save the document. Make sure to save it as a.doc file, (Word document) not a.docx file. 3.In SharePoint, check the document back in.
