Recommended Timeline At least 5 months prior to deadline, determine faculty trainer list & review information available in the T32 database to determine what additional data you must collect from faculty trainers. Enter new information and updates into the T32 database as you collect it.

Recommended Timeline: Renewals For renewal applications, at least three months prior to deadline request current trainee research descriptions and publication lists and gather trainee history data.

Recommended Timeline: Interdept Grants For interdepartmental training grants, at least two months prior to deadline request departmental data (information on applicant pool, current positions of past trainees).

Recommended Timeline: Review & Approval Contact Dean’s Office for budget review during the month prior to the deadline. Ask Dean’s Office for preferred timeline for routing Cayuse application and WISPER record.

Other Timeline Tips Check the T32 database to see what data is already available. For large grants, try to get extra help with data entry for the 8 weeks prior to deadline.

Creating a Budget Trainee Travel – Check with your awarding component for their policy on this category Training Related Expenses including Health Insurance Training Related Expenses: Funds to help defray expenses including staff salaries, equipment, and supplies. Request $2,200 per predoc and $3,850 per postdoc. Health Insurance: Current rates are available at Predoc Trainees: 24.2% Postdoc Fellows/Trainees: 14.5% Request actual costs and budget future year increases. NIH will limit the amount awarded to $2,000 per predoctoral trainee and $4,000 per postdoctoral trainee

Creating a Budget Facilities and Administrative Costs (also called indirect costs or overhead) should be requested at a rate of 8% of total direct costs less tuition, fees, and equipment. Other Considerations Letters of Support Not required Letters may be requested from Graduate School or home school/college to document promised support. Key Personnel Should typically only include PI and co-directors. Biosketches Use standard NIH biosketch including the personal statement-with statement relevant to training history Biosketches for faculty key personnel will appear twice. Once under key personnel and a second time in the participating faculty biosketch section. Be sure all NIH funded publications complies with NIH Public Access Policy (PMCIDs) listed in biosketches Appendix may include samples of materials referred to in the text.

Regulatory Compliance- PLuS Database UW protocol numbers are listed in the PLuS (Protocol Lookup System), a database developed by the Graduate School. To request access to this database, contact Heather McFadden in the Graduate School's Office of Research Policy. This database will provide you with protocol numbers and approval dates for your PIs. You may use this resource, as well as communication with your trainers to determine the list of protocol details to be provided to NIH and entered in WISPER.

Regulatory Compliance–Human Subjects If Human Subjects are used in any of the research related to the training grant, the Program Director must complete the Human Subjects training module Any trainers and trainees involved should also complete the training module.

Regulatory Compliance Human Subjects/Biological Safety/Vertebrate Animals/Human Embryonic Stem Cells Umbrella protocols should no longer be used. In the WISPER record, check "Yes" for those clearances that are applicable. You can either list protocols associated with the training grant at this point or wait until the time of award. If you wish to list the protocols at this time, create a table in Microsoft Excel and upload it as an attachment to WISPER. Biosafety is required, but is for internal use.

The WISPER Record For document type, choose NIH Train. Pick submission method as Cayuse. No need to attach any 424 forms to record although your Dean’s office may want to attach an excel spreadsheet on your budget calculations. Route record per usual.

Off to NIH for Review T32 applications will follow the general Peer Review Process. Site visit (if held) will be approximately 6 months from submission deadline.

New Financial Conflict of Interest Requirements Key personnel must complete training requirement through (course name Conflict of Interest Training) Key personnel must update their outside activity report Key personnel must update outside activity report within 30 days if they Travel either reimbursed or sponsored and related to their institutional duties. Travel that is reimbursed or sponsored by a Federal, state, or local government agency, a U.S.-based institution of higher education, an academic teaching hospital, a medical center, or a research institute that is affiliated with a U.S.- based institution of higher education does not need to be reported. Have a new outside financial interest.

WISPER Record Updates- Project Set Up For Project Type: choose GM_20 for Research Training Program For FA Base: choose NIH Training For program codes, choose 2, 9 and 4 (4- postdocs only) Set up cost shared effort for PI and other key personnel. This is typically 1-5%. Enter cost share source.

WISPER Record Updates- Project Set Up If award is a new or competing continuation award, RSP will set up accounts for all years of the grant at one time. Set up a new project for each funding period. This will remind and alert RSP that they will need to set up several account numbers at once. Enter project details for each project period.
