Effective Dating Very Important Concept #1: Effective Dating Slide 5 of 16 In PeopleSoft, effective dating is the way PeopleSoft keeps a history of changes over time. When we make changes, we ADD A ROW with the new information and a NEW EFFECTIVE DATE (the date that the new info takes effect)
Effective Dating The Effective Date of the change should be BEFORE or ON the start date of the term that will be effected You can back date actions The effective dates must be sequential as you add rows, but do not have to be consecutive Slide 6 of 16
Effective Dating Effective Dating Example -Pretend the semester starts on the 11 th -Any changes made on the 11 th or before will take effect for that semester -Each change must have its own date, and they must be chronological SO you could set the date to several days before the start of the semester. Navigation Changes to a student’s major, minor or program are done through the Program/Plan Stack. This stack is accessed from the Student Services Center. To navigate to the stack, open a web browser and go to Then click on: Campus Community > Student Services Center. Slide 9 of 16
Navigation First, you must search for the student. Slide 10 of 16
Navigation If your search matches more than one student, you will see a list of students to choose from. Once you choose your student, you will see a screen like this. Click on the academics tab. Slide 11 of 16
Navigation Here you can see the current academic data for the student. Notice that this student has three links. Each link will take you to a different program/plan stack. Make sure you have selected the link you want to change. Slide 12 of 16
Navigation Once you have selected the right link, click on the Edit program data button to access the program/plan stack. Slide 13 of 16
Navigation This is the program/plan stack. It is a stack of rows. Each row represents a change to the student’s academic program, major or minor. Slide 14 of 16
Basic Process The basic process includes these steps: 1)Check the current row – should NOT say “DGAP, DISC”. 2)Add a new row 3)Put in an effective date 4)Choose either PLNC (plan change) or PRGC (program change). 5)Edit other fields and tabs as necessary. 6)Save your changes. Slide 15 of 16
