Overview 1 The new IIHF File Sharing platform

© IIHF 2010 | Proprietary and confidential The new IIHF File Sharing For IIHF Staff only More flexibility to cater to different needs (permissions, access, etc) Access via Internet possible Finds right balance between files needed on hard drives and files needed on Internet Some Staff need “cross access” to all files (e.g. Admin to Marketing) Everyone needs his personal work files synchronized between different devices (PC, iPad, phone, etc) Better back-up solutions 1

© IIHF 2010 | Proprietary and confidential What is needed to make this happen? 1 Synology DiskStation The server: Physical file storage and system administration, providing backups and web access (through FileStation). Hosted via IIHF hosting provider. Synology CloudStation (partly replacing TeamDrive) Physical synchronization of files between server and user devices NetDrive Manages access to files which are not synchronized between devices (configured individually from user to user) TeamDrive For Staff’s personal work files

© IIHF 2010 | Proprietary and confidential Example 1 User from Administration Department Has access to “Administration” shared folder. Shows as a normal Explorer folder (through CloudStation, similar to current TeamDrive) Those Administration files are synchronized and downloaded to his computer (and/or other devices). This way offline access is possible (e.g. airplane). New feature: If he needs to access these files from another computer (iPad, phone etc), this can also be done through the Internet (through FileStation) For his personal WORK files the same principle applies through TeamDrive as of today 1

© IIHF 2010 | Proprietary and confidential Example 2 Let’s take now a very special IIHF user, the General Secretary: Accesses Administration shared folder like any other user Accesses his personal work files like any other user New feature: Additionally, he has full access to ALL Departments’ shared folders, displayed similarly to the current Public Drive (through NetDrive). Benefit 1: Files are NOT physically on his devices (too much data!) Benefit 2: Access is granted from everywhere (new feature!), given Internet connection is available 1

© IIHF 2010 | Proprietary and confidential Special shared folders Through DiskStation, cross-access from department to department is also possible: Example: “IIHF Projects” shared folder Contains subfolders (according to projects). Access can be managed on a user by user basis (new feature!). “Read only” permissions also possible. Workflow: 1. A user starts working on a file in his personal work files. 2. When the file is ready to be shared within the Department, everything is moved to the Department’s folder. 3. If the file has to be shared with users from other Departments, it is moved to the “IIHF Projects” folder 1
