Farmers Market and Local Food Promotion Program Grant Writing Workshop Preparing Your Proposal These workshops are funded by the USDA’s Agricultural Marketing Service and facilitated by USDA’s National Institute of Food and Agriculture. Preparing Your Proposal Begin with your:  Ideas  Objectives  Goals Map out or outline your project and THEN begin writing

Do Not Promise What You Can’t Deliver

Use Specific Language Be careful when using absolute terms:  All  None  Every  Never  Always Be careful about making:  Generalizations  Bold statements  Political opinions  Negative statements

Expertise and Partners  Describe the relevant experience of each team member  Describe the roles of all project contributors, including applicant staff and external project partners and collaborators.  Who will administer the project?  Who will oversee each project activity?  Who will complete project reporting?  Clarify how each role is essential to the success of your project  Describe how partnerships and collaborations will continue after the grant has ended

Estimating Costs  Personnel  Show the name/title of individual, how role relates to project objectives, level of effort (# or hours or %)  Fringe Benefits  Show the name/title of employee, fringe benefit rate for each  Travel  Provide trip destination, purpose and how travel relates to project objectives, type of travel expense (mileage, air, hotel, parking), unit of measure and # ( 5 days, 100 miles), # of travelers  Equipment  Provide description of equipment (type, brand, model), how equipment will be used to meet project objectives, is it rented or purchased?, date acquired

Estimating Costs  Supplies  Provide description, per-unit cost and number purchased, date acquired  Contractual  Provide contractor name/organization, justification for contract, and how work relates to project objectives, the hourly or flat rate  Other  Include any expenses not covered in any of the previous budget categories. Break down costs into cost/unit and describe how expense relates to project objectives  Indirect Costs  Provide indirect cost rate requested and for LFPP only any indirect costs used as matching funds

Estimating Costs  Program Income  Provide the source and nature of the program income and how you will reinvest the income to further the goals, objectives, and outcomes of the project  All costs in the budget must be allowable, reasonable, and necessary - see section 4.7 of the RFA for specific on allowable and unallowable costs  All costs must correlate back to accomplishing the project objectives

Writing Tips  Read and carefully follow grant guidelines!  Avoid jargon and A.C.R.O.N.Y.M.S  Check for grammar, spelling, and typos  Do not overuse bullet points  Do not use fancy fonts and layouts  Start with clarity. No fluff…..
