International Relations Offices At each Faculty or School of the University

There is one Main International Relations Office and, at each Faculty/School, there are decentralized International Relations Offices. At each Faculty there is one or two administrative responsibles, some assistants, Erasmus Coordinators and a Vicedean for International Relations The International Relations Offices The International Relations Offices

After a selection process at each home University, the Erasmus Coordinator or staff responsible for outgoing students needs to send an with the list of selected students informing about names, contact, period of stay and subject area code of the B.A. under wich they have been selected. Stage Done by: Erasmus student ONLINE APPLICATION. Must fill in: personal and academic data and a proposed plan of studies – Each incoming student need to fill our online application from the 1st May to 15th of June.

Stage Done by: Administrative Coordinator –UGR PREVALIDATION OF NOMINATED STUDENTS Administrative responsibles at the Faculties validate each online application, through the software designed for this purpose, comparing the correspondence of the applications with the nominations. If an University does not make the nomination via , we contact them and request it.

Stage Done by: Academic coordinator of the corresponding Faculty /School at the UGR. VALIDATION OF THE PROPOSED PLAN OF STUDIES FOR PREVALIDATED STUDENTS Each Coordinator at the Faculties checks that the plan of study, the number of credits per semester and the subjects chosen by the student are possible to follow. If they are correct the Coordinator validates this tentative plan of study. If not, they send an to the students warning them of the errors to correct them.

Stage Done by: Administrative Coordinator of the International Relations Office- UGR SENDING OF THE ACCEPTANCE LETTERS AND INFORMATION PACK After these two validations (administrative and academic) the Main International Office sends the students the acceptance letters Some students (coming from Turkey or overseas) may need a special acceptance letter in order to apply for a visa. It is sent by ordinary post.

Printed posters are sent to each Faculty and School in order to inform about activities and calendar of the Welcome Week and the exact day of the Welcome Meeting For the Welcome Meeting students are grouped by Faculties and one responsible of the Faculty is invited as well GENERAL WELCOME MEETING FOR INTERNATIONAL INCOMING STUDENTS

GENERAL WELCOME MEETING FOR INTERNATIONAL INCOMING STUDENTS Students receive also information about: ACCOMMODATION: The UGR offers information about the available options for accommodation in Granada. This service is available through the link: HEALTH INSURANCE: Non EU students must obtain private medical insurance for their entire stay in Spain. This insurance must be obtained prior to their arrival in Spain. GENERAL WELCOME MEETING FOR INTERNATIONAL INCOMING STUDENTS When finishing the Welcome Meeting, students are asked to hand in all necessary documents in order to be registered at the UGR and to prepare their student card: Printed version of the online application form A copy of their ID Card or Passport One passport-size photo (if they haven’t uploaded one when filling the online application) A formal letter from the home university, stating that the student has been sent specifically to the University of Granada through the LLP/ERASMUS Programme, or other international programme.

AT EACH FACULTY, AN INTERNATIONAL RELATIONS OFFICE Welcome meeting at the Faculty An information meeting is held during the first week at each Faculty where students are informed about: Arrival Certificate: It is signed, sealed and sent to each home University by fax or Learning Agreement: It has to be signed and sealed by both Universities’ Coordinators and sent both ways by fax. AT EACH FACULTY, AN INTERNATIONAL RELATIONS OFFICE The Student Card Once the student card is ready, it is sent to the corresponding Faculty or School where the student can pick it up. The student card enables to use some of the services of the UGR, such as: Library: Sport Service: Computer Services: Wi-fi connexion, , etc. : Refectory: etc.

AT EACH FACULTY, AN INTERNATIONAL RELATIONS OFFICE Enrolment/registering for the courses After obtaining the student card, students can be enrolled in courses. At each Faculty or School some academic procedures may vary.

Enrolment/registering for the courses Before making the final choice of the courses, students are advised to follow classes for several days. Once they have decided they fill the enrolment form.

Enrolment/registering for the courses Deadlines to register for the courses: First term: 15th of October Second term: 15 of March Procedure: Students send by an enrolment form with the list of courses they have chosen They have to return to our office in 4 days to get: the PIN and the “Resguardo de Matrícula”.

Enrolment/registering for the courses Depending on the Faculties there may be certains restrictions: 30 credits maximum per semester (cuatrimestre) An annual course cannot be followed by a student who stays one semester When choosing Free Elective courses indiquate clearly group, code ( ) and Faculty. Once registered they are allowed to change the courses once.

Enrolment/registering for the courses The first page of the SIGA software. Personal data fields are automatically filled and we need to fill the code of courses and group.

Enrolment/registering for the courses The software used to register students for the courses is called SIGA. Once we type their ID number, all data downloaded by students when filling the online application appears in the screen. We proceed with the registration of the subjects chosen by the student through the inclusion of their code. Finally, we ask the student to sign the document printed and give him/her a stamped copy.

AT EACH FACULTY, AN INTERNATIONAL RELATIONS OFFICE Enrolment on the courses specified in the academic Learning Agreement is not always easy, it depends on the availability of places in the Faculty where the course is taught. Changes to Learning Agreement and changes in the list of courses registered can be done twice (once each semester)

AT EACH FACULTY, AN INTERNATIONAL RELATIONS OFFICE After they are registered, they will receive a password (PIN) that enables students to login to the Virtual Secretary’s Office.

Final Transcript of Records: It’s printed by the end of July, when all marks are recorded by Professors, original is sent to Home University and a scanned copy is by to the student.
