Application form : basics 1 European App. Form : same in every country Be sure to use the most recent app form (final 2011) Choose a Coordinator:  Specific role during application stage  Use application form from Coord’s country  In charge of filling in the common application form Same application form for the 2 partners  given to the 2 Nas => to the 2 team of evaluators Ask your national agencies for any national specifications, priorities, rates etc.

Application form : basics 2 Answer every question in the application form Understand the question & why the question is asked Be coherent Read carefully the instruction / explanation for each question Give your application form to read to an outsider Partner / Coordinator: all partners have equal rights and obligations => divide tasks

Objective: what you are willing to achieve Result, expected outcomes : what you achieve, realise, your products Impact: the effect, the consequences, on persons, organisations Evaluation / Assessment: monitoring methods and tools used to check whether your project has reached its objectives Dissemination: sharing your experience and the results

Work Plan – what for ? To explain concretely what activities you will set up to reach your objectives To visualise the concrete steps ahead To show the clarity and coherency of your project Meetings / Vol. exchanges Define a purpose for each meeting Explain what will be done on national level between transnational meetings Explain what will be done between volunteers exchanges

Monitoring and Evaluation what for?  To measure if objectives are reached  To check if impact is real  To adapt activities  To identify malfunctioning or lack of understanding When should we plan monitoring ?  After each project meeting to know if expectations have been met  After a volunteer exchange with the volunteer and with the staff  Create simple monitoring tools

PromotionDissemination, Information Promotion, Dissemination, Information During the whole project it’s important to inform those who are not directly involved :  Colleagues who are not working on the project Project success depends on the support from your organisation, your colleagues, your head management  Your local home partners An international project can promote your organisation within your local community (parents, networks, local authorities, trade unions, funders etc.)  Local volunteers that will not take part in mobilities  Adapt communication tools to target audience

Budget spreading 1.Costs for volunteers mobility Travel: real costs (! national ceilings) Subsistence: lump sum (! national rates) 2.Costs for organising mobility as sending & as hosting organisation: lump sum Preparing volunteers & overhead management costs: lump sum = 2 separate budgets: one for each partner For subsistence of incoming volunteers + for travel of outgoing volunteers To prepare welcome of incoming volunteers + to prepare mobility of outgoing volunteers 8
