Instruments for the plan IT Platform Managers’ Training Barcelona, 11 April 2013 Oriol Barba | Alfons Segura

IT Platform Managers’ Training The Strategic Plan has a multiplicity of actors and activities/events The USUDS IT Platform is a instrument for the relationship between the actors and the management of the activities and events Stakeholders Citizens Trade Unions Users Partners Donors Scientists Workshops Forums Presentations Steering Committee Seminars Local Team Communication

IT Platform Managers’ Training What can I make from the platform? DOCUMENT MANAGEMENT WORK MANAGEMENT RELATIONSHIP MANAGEMENT Management of the activities schedule -Calls -Minutes Direct relationship with the actors involved in the strategy Collaborative edition of documents of the Local Team Collaborative edition of documents of the Workshops Managing debates (workshops or others) Managing a library of documents of the Strategic Plan Managing a common library of subjects of interest Hanging our best practices Consulting the good practices in the areas that can interest us

IT Platform Managers’ Training Some suggestions to stimulate debates in the platform or in the network Propose a specific topic Propose an initial positioning (what I think about it…) One or more concrete questions, no rhetorics (answer is expected and asked) Nourishing the debate: making daily comments (and if it falls, to make new questions suggested by the interventions of the day) Provide complementary documentation (own doc or from others sources) Time limit: it can not be eternal Make conclusions To stimulate debates in the network is not easy and it is only worthwhile to make it if there is a clear result to offer

IT Platform Managers’ Training Resources Interesting documents of any of the nine categories identified will be upload as useful resources for cities developing its Strategy

IT Platform Managers’ Training Call for tenders Cities can make public their call for tenders for experts hiring, suppliers or any other need related to their strategy that want to make public

IT Platform Managers’ Training The private are: a virtual community of work The private area is designed in order to enhance team-working. It can have multiple uses: from the coordination of stakeholders of a CDS to drive cities interested in building city development strategies and also to communicate with the other partners of the projects (particularly report exchanges with the Barcelona team) This working approach will earn tens of s exchange. Moreover, each action is tracked so it may help to avoid misunderstandings. What the USUDS Platform offers is a tool. The use to be given to this tool will depend on each node of the network

IT Platform Managers’ Training The private are: a virtual community of work

IT Platform Managers’ Training Some advantages for USUDS cities to use the private area It is a simple and flexible way to organize tasks and work-flows Each city will be able to adapt it to its needs and interests, acting according to the truly decentralized management of the USUDS project Documents can load up to 20 MB, exceeding exchange capacity Tasks assignment and work-tracking may help to rationalize work loads. The USUDS private area has been developed using OpenAtrium – an open source intranet proposal developed by Drupal
