Know Your Phone

Selecting Ringer Type To change the ring sound: Applications button Press the Applications button Use Navigation cluster to scroll to and select Settings>Ringtone If your phone has multiple lines, select a line and press Edit softkey Select the ring type and press the Play softkey to hear the selected ring type When you find the ring you want, press the Set softkey To apply the ringtone to all lines, press Apply To All softkey Press Exit to return to the Settings screen. Press Exit a second time to return to phone display. Applications button

Adjusting Brightness To Change phone screen brightness level Press the Applications button Use the Navigation cluster to navigate to and select Settings>Brightness To increase brightness, press up or right on the Navigation cluster To decrease brightness, press down or left on the Navigation cluster Press Save softkey to set the brightness or press Cancel softkey to exit Press Exit to return to phone display Applications button

Volume Adjustment To adjust the volume in a call When the phone is in use, press the up or down Volume button to adjust the handset, headset or speakerphone To adjust the ringtone volume When the phone is not in use, press the up or down Volume button Volume button

Placing a Call Line Buttons Speaker Headset Handset There are many ways to place a phone call. Interoffice dialing is either 3 or 4-digit and access code for outside/offnet (long distance) dialing is typically “8” but could be “9”. You can simply: Lift the handset Dial the phone number Other ways include the following: Do one of the following: Press the line button for the line you wish to call on (Speaker button lights) Press the Speaker button Press the Headset button To place a call, simply pick up the handset and dial. Or use one of the many other available options. The figure shows a few of the most commonly used ways to place a call. Also refer to the phone’s quick reference guide for more detailed instructions. Muting and Placing a Call on Hold To mute a call, press the Mute button, to disengage mute, press the Mute button again To place a call on hold, press Hold/Resume button, to return to the call, press Hold/Resume button Hold/Resume button Mute button

Call Pickup Call Pickup is enabled on all phones in your office Hear another phone ringing in the office and you know that user is currently unavailable to answer the call Press the Group Pickup softkey button from any phone in the office; if Group Pickup is not displayed in softkeys select the … softkey button to toggle display. Call Park Call Park allows you to temporarily store a call which you can retrieve from another phone During an active call, press the Park softkey button and then hang up The phone displays the number where the system parked the call From any other Cisco IP phone on the network, enter the number where the call is parked to retrieve the call Press Answer softkey button if you wish to resume the call on the original telephone Softkeys

Answering a Second Call While on the first call: Use the Navigation cluster to scroll to and highlight the second call Press the Answer softkey button. This places the first call on hold. To resume either call: Use the Navigation cluster to scroll to and highlight the desired call Press the Resume button. To end either call: Press the EndCall softkey button. After ending either call, press the Resume button to resume the other call. Softkey buttons Navigation cluster To answer a call, pick up the handset. To answer with a headset, press the headset button, if unlit. Or, if it is already lit, press the Answer softkey. To answer with the speakerphone, press the speakerphone, or press the Answer softkey. To switch from a connected call to answer a ringing cal, press the Answer softkey. This answers the new call and automatically places the first call on hold. See the quick reference guide for other options and more detailed instructions.

Direct to voicemail -Immediate Divert (iDivert) There may be times when it is necessary to send an incoming call directly to Voice Mail. When receiving a call, an additional softkey will display labeled iDivert To send a caller immediately to VM upon receiving a call, simply press the iDivert softkey button

DnD (Do Not Disturb) The Do Not Disturb (DND) feature allows phone users to disable audible ringing for incoming calls. When DND is enabled, incoming calls do not ring on the phone, however there is visual alerting and the call information displays. The call can be answered if desired. When a local IP phone calls another local IP phone that is in the DND state, the message "Ring out DND" displays on the calling phone indicating that the target phone is in the DND state. DND can be toggled on and off, by pressing the DnD softkey button when your phone is on-hook. Note: DND does not apply for group or shared lines.

Ending a Call Speaker Softkeys Headset Handset Depending on how the call was placed (or accepted), do one of the following: Hang up the handset Press the Speaker button Press the Headset button Press the EndCall softkey Softkeys Handset To end a call, hang up. To hang up while using the handset, return the handset to its cradle or press the EndCall softkey To hang up while using the headset, press the headset button. If you want to keep headset mode activated (keep the button lit after hanging up), press the EndCall softkey. To hang up while using the speakerphone, press the speakerphone button, or press the EndCall softkey. To hang up one call but preserve another call on the same line, press the EndCall softkey. If necessary, remove the call from hold first. Headset Speaker

Would You Please Transfer Me To... To transfer a call to another phone: During a call, press the Transfer button or Transfer softkey button Dial the number to which you want to transfer the call Press the Transfer button or Transfer softkey button again either when you hear ringing or when the party answers and you announce the call You can press the Resume button to return to the original call Transfer button

Forwarding Calls Using Your Phone On your phone: Press the Forward All soft key button Enter the number to which calls will be forwarded to(press Message button to send calls to voicemail or an internal extension to forward to another subscriber) To cancel forwarding, press the Forward All soft key button again Softkeys

Making Conference Calls Place a call between 2-to-3 other phones and yourself. Place the first call and wait for it to be answered. Press the Conference button or Conference softkey button. This selects a new line and places the first call on hold. Place second call. When the next call is answered, press the Conference button or Conference softkey button to add this person to the conference call. You should now be able to speak to both called parties. If you wish, you can add up to 3 more calls; for each, press Conference button dial the next number, then press Conference button. Maximum participants is 4 (3 other lines and yourself). To drop the line that was added last, press the RmLstC softkey button. Softkeys Conference button Your Cisco IP Phone allows you to join three or more people into one telephone conversation, creating a conference call. After calling the first participant, the conference organizer presses the Confrn softkey, calls the next participant, and presses the Confrn key again to add the most recent call to the conference. To add another participant, the organizer presses the Confrn softkey again, calls the next participant, and then presses the Confrn softkey to rejoin the conference. The maximum number of participants is 6, including the conference organizer.

Viewing Received Calls You can view received, placed, and missed calls Press the Applications button Press Recents softkey button Use Navigation cluster to scroll to and select the Line button to view Press Missed, Received or Placed softkey button Press Exit softkey button to return to previous menu Applications button

Speed Dials Feature Buttons Office Speed Dials – Office Speed dials are programmed into the system. The local TSD will provide a reference sheet. Access them by dialing * followed by the 3 digit access code Personal Speed Dials – You can configure personal speed dials (99 Max) by going to: https://aiomokcc0as125.usda.net:8443/ucmuser and logging in with your USDA username and password Feature Buttons Speed dialing lets you press a button to place a call. You can assign a speed dial number to any unused line button on your phone.

Becoming a Voicemail Subscriber Press the Message button. Enter your password (Default Password: 134679) followed by # Listen carefully to the prompts and respond as prompted: If prompted, enter the user name and password provided to you. Record your name Record a greeting that outside callers will hear when you do not answer your phone Change your phone password Choose whether to be listed in the directory (so outside users can find your name in directory assistance) (Later, you can change any of these settings) The system will tell you when you have finished; you are then a Unity subscriber. If you hang up before finishing, you will be prompted the next time you press the Message button. Your first step in using voice mail is to enroll as a subscriber, which you do by phone the first time you press the Messages button. A set of prerecorded instructions guide you to: Record your name. Record a greeting that outside callers hear when you do not answer your phone. Change your phone password. Choose whether to be listed in the directory. (When you are listed in the directory, callers who do not know your extension can reach you by finding your name in directory assistance. You must have a recorded name to be listed in the directory.) If you hang up before finishing, you will be prompted again to complete this procedure the next time you press Messages.

Accessing Voicemail by Phone Red Light: Message Waiting Press the Message button. Enter your password and press #. Press 1 to hear new messages, or 3, 1 to hear saved messages. Follow the voice instructions. Message button You can check new and saved messages by phone. Depending on how your phones are set up, when you receive a new message, a message waiting indicator may light on your phone or you may hear a distinctive dial tone when you pick up the receiver. Once you have listened to a new voice message, it is saved until you delete it. To access voice messages by phone, press the Messages button. Enter your password, and press #.

Accessing Voicemail from Another Phone External Access 1-816-268-7950 Dial your phone number or dial 1-816-268-7950. When Voicemail answers, press * When prompted, enter your full 10 or 13-digit extension number and press #. Enter your password and press #. Follow the voice instructions. You can listen to your voice messages from an outside phone, or from another phone within your organization. Dial your phone number, and when Voicemail answers, press *. You might be prompted to enter your extension number and press #, and will be prompted to enter your password and press #.

Setting the Phone Password by Phone Press the Message button. Enter your password. Press 4, then 3, then 1. Enter your new password, then press #. Use only digits 0 through 9. Re-enter your password followed by #. Message button Your phone password protects the privacy of your messages and secures your phone from unauthorized access. You can change your phone password at any time.

Saving Voice Messages by Phone Press the Message button. Enter your password. Press 1 to hear new messages During or after playback, press 2 to save the message. Messages

Deleting Voice Messages by Phone Press the Message button. Enter your password. Press 1 to hear new messages, or, press 3 to hear old messages. During or after playback, press 3 to delete the message. Message button When you listen to a new voice message it is automatically saved until you delete it. To delete a message, press the Messages button and follow the instructions given.
