How PIMS Data Affects Precode Labels Flow of Data How PIMS Data Affects Precode Labels

Student Record Rules - MetriTech  MetriTech receives a demographic file from PDE containing all current English language learners (K-12) uploaded into the November Student Collection.  If a student (K-12) was not properly coded as a current English language learner or not uploaded into the November Student Collection, this means no precode label produced and LEAs must hand-enter information on the student test booklet. MetriTech Data Flow  The data on each precode label is associated with the November Student Collection.  When an answer booklet is returned to MetriTech:  with a precode label affixed - MetriTech uses the data from the November Student Collection that is associated with the precode label for the student file.  that is hand-entered - MetriTech uses the data bubbled in the booklet for the student file.  The student file is matched to the English Language Learners-ACCESS for ELLs PIMS snapshot file using the first name, last name, PAsecureID and birthdate to validate/update the student file. When there is a match, MetriTech overlays the student file with the data from the English Language Learners-ACCESS for ELLs PIMS snapshot. How PIMS Data Affects Precode Labels

English Language Learner Status - MetriTech  MetriTech receives a demographic file from PDE containing all current ELLs (K-12) uploaded into the PIMS November Student Snapshot. ELL status indicator in Field 41 must be 01 (current ELL) for a student to be valid and included in the precode file sent to MetriTech.  If a student (K-12) was not properly coded as a current ELL or not uploaded into the PIMS November Student Snapshot, this means no precode label produced and LEAs must hand-enter information on the student test booklet. LEAs should correct the information in their student information systems.  LEP/ELL status is a demographic field collected by MetriTech and is stored for reporting at the close of the testing cycle.  The LEP/ELL status field is used by PDE for federal reporting purposes and in calculating AMAO accountability determinations. Precode Labels - MetriTech  Verify that the information printed on a student precode label is accurate. If all information on the precode label is accurate, place the precode label in the box provided on the front cover of the test booklet.  If you have been provided a precode label for a student who your LEA will not be testing, DO NOT use the precode label.  Follow the detailed instructions concerning precode labels found in the ACCESS for ELLs District & School Test Administration Manual. For the PIMS November Student Snapshot: If any demographic element on the precode label is incorrect, the precode label must be discarded and LEAs must hand-enter all demographic information in the student test booklet. If a student (K-12) was not properly coded as a current English Language Learner or was not included in the PIMS November Student Snapshot, the LEA will not receive a precode label for the student and the LEA must then hand- enter all demographic information for the student in the student test booklet. PAsecureID - MetriTech  PDE provides the student’s State Student ID (PAsecureID) to MetriTech to create precode labels for ELL student’s whose LEP/ELL status is reported by the LEA as current in the PIMS November Student Snapshot.  This unique, 10-digit number is used by MetriTech for production of precode labels, for matching a test booklet to the March English Language Learners-ACCESS for ELLs PIMS snapshot, and is printed on the precode label.  Invalid or duplicate PAsecureIDs negatively impact accountability and federal reporting determinations. If the PAsecureID is incorrect in the test file, the test record for the student is invalidated.

Birthdate - MetriTech  PDE provides the student’s birthdate to MetriTech to create precode labels for ELL student’s whose LEP/ELL status is reported by the LEA as current in the PIMS November Student Snapshot.  The student’s birthdate is used by MetriTech for production of precode labels, for matching a test booklet to the March English Language Learners-ACCESS for ELLs PIMS snapshot, and is printed on the precode label. How PIMS Data Affects Precode Labels ESL or Bilingual Education Programs (Core) – MetriTech  Additional core program codes were added to the Programs Fact Template for SY2013 to capture the student’s Bilingual/ESL program model of delivery used for their direct core ESL instruction the ESL teacher is providing.  New for SY2013, PDE will provide the student’s ESL or Bilingual education core program to MetriTech to create precode labels for ELL student’s whose LEP/ELL status is reported by the LEA as current in the PIMS November Student Snapshot.

How PIMS Data Affects Precode Labels ESL or Bilingual Education Programs (Core) – MetriTech  All current English language learners (Field 41 of the student snapshot template), reported as a valid value “01” must also be reported in Field 5 with a Program Code of 031. In addition, LEAs must provide the student’s model of delivery used for their direct core ESL instruction the ESL teacher is providing in Field 5, selecting a Program Code within the range of A student should only have one program selected within the range of program codes  ESL or Bilingual education program (core program) is a demographic field collected by MetriTech and is stored for reporting at the close of the testing cycle.
