Determine Goals Determining the goals of the event will help in planning what activities, programs, and experiences to offer. Example: Conclave 1.Improve Council camps 2.Strengthen Brotherhood within the Order 3.Increase activity/participation 4.Fun fun fun
Decide Location, Date, Time Location Centrally located Easy to find Date Check dates of other Council activities Availability Time Reasonable hour
Partnerships/Sponsorships Teamwork! Consider sponsorships Your event will cost money. For truly unique experiences, outside funding is necessary. Identify roles/responsibilities
Consider Resources Every event requires resources. Food Money Supplies Use resources effectively Scout=Thrifty Sponsorships
Resources, cont. Food Consider cost (Thrifty) Add variety Vegetarians/vegans Allergies (I hate to be that guy, but…) Healthfulness
Resources, cont. Supplies Requirement for activities/programs Check, double check, triple check supplies Be prepared!
Program Plan activities according to your event’s goal(s). If it doesn’t pertain, don’t include it Consider: Amount attending Location Time Plan more than time allows
Create a Timeline Stay organized and on top of things Start events on time Stay on schedule! Better to be ahead and use an alternate activity than be behind, rushing to cram things in
Public Relations Advertise in a timely manner No one will come without due notice. Give enough information, including: Date/Time Location Activities Cost I love my sister Abbey
Other Other things to consider: Decorations Music/Atmosphere CLEAN UP Must have plan for clean up A Scout is clean Leave the place better than you found it
Have Fun Events should be fun! With enough work, dedication, and effort, any event will be a success!
Be Prepared
