First week-meeting at Caludon Castle School 1 st meeting date: 8 th September 2010 Venue: Caludon During the initial introduction to Festival unit, Diploma students were… informed about the initial brief Kathi [project adviser] went through stages of a real festival- The festival of invention Brainstormed reasons people put on festivals. How to plan a shared budget Brainstormed important things to consider whilst planning. How to evaluate successfully Split up into groups such as; marketing, creative programming, production management

Second Week Wednesday 12 th January 2011 Venue: Foxford School Marketing Team: Thought of ways to promote our festivals. They came up with a list of ways we could promote the festivals: Badges, Stickers, Key rings, Leaflets/flyers, School letters, Texts, Door to door, Posters, Presentations, s, Newspaper, Radio, T shirts, Billboards, Wristbands, TV Merchandise, Brochures, Flags, Internet and Facebook. They also thought of a range of activities to raise money: Raffle, Competitions, Refreshments, Sell items, Entrance fees, Auction off children’s paintings, Badges, T-shirts, Stickers and Flags School Liaisons: The school liaisons thought of ways we were going to include primary schools in our festival: Visual Workshops (Culture, Portraits, Collages) Multimedia (Documentary, Photography, Music, Filming) Performance (Dance, Drama, Physical Theatre). The school liaisons also considered a list of local primary schools which could take part in the festival: Courthouse Green, Stoke Heath, Henley Green, Aldermoor Farm, Foleshill, Little Heath, Willenhall Wood, Holbrook's. Managing Team: The managing team went to Caludon Castle School and talked about what is going to happen each week until the festival. They went through everything that has been and needed to be done (deadlines and budgets)

Today the managerial team split the budget £2500 according to what each of the groups would be needing. Kathi came in today because as the manager of the festival she wanted to be sure we were on track and help support us. Created wiki pages as evidence for Claire Marshall [event manager] and to keep other schools also participating in the festival updated on what we are doing. They also printed out floor plans for possible rooms the festival could be held in inside the Ricoh. Received reply to from Clair marshal with attachment briefs and possible letter to parents for children participating in festival The marketing team created posters to advertise the festival they answered common questions about the festival Quoted possible prices for the merchandise by researching average costs created a schedule for when they planned on ordering festival merchandise. School Liaison team collated all work together and discussed working with childring with Kathi Meet head of Holbrook's Primary School with their notes and plans to detail when they wanted the sessions to start. Third week Date:19 th January 2011 Venue: Foxford School

Fourth week Date: 26th January 201 Venue: Foxford School Today the managerial team Improved their budget table after discussions with each team ed Kathi Leahy from Imagineer to find out how much money had to be contributed to the Ricoh event The marketing team Improved on their original leaflet by adding more information Summarised how to advertise festival and design/purchase merchandise ect. The school liaison team The school liaison team were working on Their LO1 presentations for the majority of the day. They gave us one schedule for their media workshop [The majority of members in each team were working on their learning objective 1 PowerPoint’s so did not get a lot of work done in their teams.]

Week Five February 2 nd 2011 Venue: Foxford School Managing team Had a meeting with Claire Marshal to update her about the prices, costs, budgets that are needed for the festival. School Liaison Team The school liaison team went to Holbrooks Primary School to give them a schedule of the festival. They produced a written up schedule of visual workshops. Marketing Team The marketing team created invitations and posters for the main festival. (Everyone was also working on their LO1 of the festival unit)
