ERASMUS+ Traineeship Information for students going abroad in the academic year 2015/2016 or in the winter semester 2016/ /4/2016, Brno

Erasmus+ Traineeship Traineeship needs to be carried out during: – if you succeeded in the 2015/2016 selection procedure – if you succeeded in the 2016/2017 selection procedure Minimum length of traineeship: 2 months (60 days) Maximum length of traineeship: 12 months (360 days) Erasmus+ grant: for 3 months at maximum (applies to 2015/2016 selection procedure) for 2 months only (applies to 2016/2017 selection procedure) 2

Erasmus+ Traineeship The application for an Erasmus+ Traineeship is binding! Cancellation is possible only for serious reasons, such as serious health condition etc. Fill out and deliver the "Notification of Traineeship Cancellation" form to international officer of your faculty to download the form, see the section „Forms, contacts at faculties“ here: Cancellation may affect your potential future application page

Repeated mobility Students may carried out their traineeships repeatedly times in one study cycle. The total duration of mobilities, however, must not exceed 12 months for any combination of study periods and/or traineeships in the study cycle concerned. Previous mobilities (study periods and traineeships together) including those carried out with the support of Erasmus Mundus programme are added up in the study cycle concerned. 4

Which countries are included in Erasmus+? The Erasmus+ Traineeships may take place only in the programme countries: a)EU member states: Austria, Belgium, Bulgaria, Czech Republic, Croatia, Cyprus, Denmark, Estonia, Finland, France, Germany, Great Britain, Greece, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, the Netherlands, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, Sweden b)Non-EU member states: Iceland, Lichtenstein, former Yugoslav Republic Macedonia, Norway, Turkey Switzerland is not included in Erasmus+ programme countries 5

Non-eligible organisations Traineeships cannot take place in: a)EU institutions and other EU bodies, including specialised agenciesEU institutions and other EU bodies, including specialised agencies b)organisation administering EU programmes. Note well that the student has to work full- time in the foreign organisation 6

Do not forget to switch to Work placement or/and Graduate work placement in the upper left part of the webpage!!! 7

Note well that the mobility to student´s home country has the lowest priority, and hence, thery are very improbable !!! 8

Before departure Find a suitable traineeship provider Agree upon the content of the traineeship compatible with your study field Fill out the Traineeship Agreement (TA) form Fill out and have the Travel proposal approved in UIS Have the traineeship registered in UIS – it is to be done by your faculty international relations officer (IRO) based on approved Traineeship Agreement Pay the travel insurance Open an EURO account at the Komerční banka (they offer a special deal for outgoing Erasmus+ students; ask for the confirmation at your IRO) page 9 9

Before departure Enter the EURO account number in UIS: Student´s portal -> Bank connection Undergo initial on-line testing of your knowledge of the workplace main language (you will receive the login data and further instructions via ) SIGN FINANCIAL/GRANT AGREEMENT!!! Personal presence required!!! It is highly recommended to schedule a date and time specific appointment via at least 14 days before the 10

Traineeship Agreement Trilateral agreement on traineeship concluded by student, university and employer Determines duration and content of the traineeship, skills required from the student, language skills, traineeship recognition etc. Signed by the student, faculty coordinator and traineeship provider. Travel proposal Document needed for approval of mobility and for arranging the travel insurance Fill it out electronically in UIS: Student´s portal -> eAgenda -> Trips abroad Print out 2 copies Have them signed and approved in UIS by the faculty IRO (students of FFWT will have it signed and approved by the Vice-dean for International Relations, Dr. Ing. et Ing. Financial Agreement/Grant Agreement Must be signed 2 weeks before departure LATEST! Schedule an appointment for signing the Financial/Grant agreement via Draft of Financial/Grant agreement can be found here (in Czech only): 32

Erasmus+ Traineeship Grants 2015/2016 grant for 3 months at maximum 2016/2017 grant for 2 months only!!! 1 month = 30 days Grant for 90 or 60 days respectively! From day 91 (in 2015/2016), or day 61 (in 2016/2017) students participate in Erasmus+ Traineeship programme as zero-grant students 35

Special grants For students with special needs – disabilities or e.g. a condition requiring a special diet – detailed cost calculation, medical report and a copy of the disability card (if applicable) is necessary – need to be announced at the Rectorate IRO well in advance – the Rectorate IRO shall assess the adequacy of the grant requested – grant shall be accounted for upon the return from the study abroad 36

Special grants For students with a socio-economic disadvantage – since 2016/2017 applicable also to traineeships – application need to be filed before the Grant agreement is signed – students whose family income did not exceed the product of the life minimum multiplied by coefficient 1.5 in the previous year are eligible – the eligibility must be confirmed in written by relevant authority of the student´s home country and accompanied by official translation into Czech language and superleglised or apostille verified (if applicable) 37

During mobility The Changes to Traineeship Agreement form downloadable in the section „Forms, contacts at faculties“ here: is to be used only if the content of the traineeship changes or if the responsible person changes. Not for changes in the length of the traineeship. All changes must be approved by all three parties (student, sending institution, receiving organisation) 38

Change in the length of traineeship - Extension Possible only upon agreement with the sending institution and receiving organisation, based on the Application for Extension of Erasmus+ Traineeship. Download it in the section „Forms, contact at faculties“ here: Has to be approved by sending and receiving organisations (an fully documented) before the end of the original mobility The extension should follow up the orginal mobility seamlessly 39

Change in the length of traineeship - Extension Students shall not be awarded funds for the extension. They will continue their traineeships as zero-grant students. Upon arrival, student sign the Amendment to Financial/Grant Agreement concerning the duration of the mobility at the Rectorate IRO. 40

Interruption of the traineeship Possible only if the enterprise is closed due to enterprise holidays (and the traineeship provider states this in written; original of the statement needs to be submitted to the Rectorate IRO) The closure period does not count towards the minimum duration of a traineeship period but it will count towards the maximum of 12 months per each cycle of study 41

Change in the length of traineeship – Shortening Possible upon agreement between the student and the sending institution. If the length of the traineeship is shortened by more then 5 days, student must sign the Amendment to Financial/Grant Agreement upon their return to the Czech Republic. However, the minimum length of the traineeship (2 months) must be always met!!! Student who does not meet the minimum length of the traineeship will return the whole grant!!! (This provision shall not apply in case of termination of the stay due to force majeure). 42

After mobility Submit original of Traineeship Certificate (the minimum length of the traineeship of 60 days must be met!!!) Traineeship Certificate form download in the section " Forms, contacts to faculties " here: Submit the final report to: 1.EC database, i.e. EU Survey ( the password for entering the database will be sent to you via by the end of the traineeship) 2.UIS (Student´s portal -˃ Evaluation of international mobility) Take the final online language test (OLS) Have the traineeship recognized according to the Training Agreement (ask for further information at the faculty IRO) 43

Watch out! Rectorate IRO requires the original of the Traineeship Certificate. Make sure the TC is signed and/or stamped in blue ink, so that it is obvious it is the orginal document. Before leaving the receiving organisation, double check that the dates on the Traineeship Certificate correspond with reality. Student who does not meet the minimum length of the traineeship (60 days) will return the whole grant!!! 44

Watch out! Student who does not submit Traineeship Certificate with original signature and stamp within 14 days after the end of Traineeship will return a portion or even the whole grant!!! Student who does not submit either of the final reports or does not take the final on-line language test will return a portion or even the whole grant!!! 45
