Objectives 1.Explain CAPTE’s policy related to web-based information on the program. 2.Identify the special concerns and process needed when web-based materials are used in program review. 3.Identify questions to ask when reviewing web- based materials related to the program. 2 Please take a moment to review the objectives of this module. 6/21/2016

Supporting Documents Handbooks: Faculty Student Clinical Education* 3 Program Policy & Procedures Manual * *if available Relevant Catalogs Financial Aid Brochure* Student recruitment materials * If available CAPTE has identified the Supporting Documents that must be submitted with the Self-study Report. Generally, both institutional and program documents are made available through program or university websites. The transient nature of electronic communication makes it difficult to maintain these as documents of record for purposes such as accreditation. Therefore, CAPTE has adopted polices that are designed to ensure the Commission maintains permanent copies of documents necessary for its function, while also respecting the change occurring in document delivery. If materials are available on the Web, it is part of the team’s responsibility to review them. To facilitate your review, programs are asked to provide specific URLs for web based documents; you should not be spending time searching for documents. 6/21/2016

Information Flow Since a Weblink is not sufficient, Self-study Reports must include either: Print outs of the web pages CD copies IMPORTANT! 4 Since a web link can change over time, it is not sufficient for the program to provide only the URL for documents specifically requested for the Self-study Report. This is because US Department of Education requires that CAPTE maintain a record of the materials used to determine accreditation status. Therefore, programs are asked to also provide either a hard copy of the document, or at least the relevant sections of the document, OR to submit the material onto a portable device (such as a flash drive) in a PDF format. Large documents, such as handbooks or catalogs, must include an index that provides bookmarks to the specific areas required in the Self-study Report. If this has not been done, the team leader should notify the program and Accreditation staff. You should not be spending time searching for materials! 6/21/2016

Questions To Ask As You Browse Are Web materials consistent with companion printed material? Is it accurate? Especially information provided to the public Can you locate materials identified in Self-study Report 6 Teams review web based materials to confirm that requested evidence has been provided. In addition, web-based information should be checked for accuracy, especially for information provided to the public. 6/21/2016

Questions To Ask As You Browse Are the links provided accurate and ‘live’? How easy was it to find the needed information ? Can you tell when the information was last updated? As you review the provided links, you need to ask these questions to determine if the material is provided in a useful fashion. If the links provided are not accurate, the team leader should request that current URLs be provided to the team and to CAPTE. 7 6/21/2016

Questions To Ask On Site How is the accuracy and currency of web-based information ensured? Who maintains the web site? Are relevant areas archived? After reviewing the links provided in the Self-study Report, it is important to ask the questions delineated on the slide during on-site interviews with whomever is responsible for maintaining program information. Although it may be more difficult to maintain electronic data, the integrity and accuracy of the web-based information is just as important as that of material provided in print. It is expected that documents that need to be accessed by the public in the future, such as course bulletins, are safely archived by the institution in a retrievable manner. 8 6/21/2016

Other Information That May Be Available Online Library Holdings Course Materials Descriptions of faculty and student support services 9 The program might also provide the team with other Web based material either prior to the visit or when you are on site. For example, programs that offer on-line courses may provide access to the on-line course materials. The team would comment on these materials in the Visit Report in the same manner as other on-site materials. There is no need to request that this information be made available to CAPTE. 6/21/2016

An Exercise Choose a program listed at CAPTE’s web site ( with which you are not familiar For each of the issues presented in this unit, try to locate the documents mentioned in this module Before you wrap up this unit, you may want to try this exercise. Go to CAPTE’s website and click on the link to Directory information for accredited PT or PTA programs that is found in the blue, left-hand box. Then choose a program with which you are not familiar.Try to locate relevant materials, keeping in mind the issues identified in this module. Remember that in an actual review, the links for the relevant documents would be provided to you, making the search much easier. 10 6/21/2016
