Time Management: Handling Multiple Priorities A Deer Oaks EAP Presentation

Ask Yourself... How do I spend my time each day? How can I use my time better so I can achieve my goals? What is the best use of my time right now? To answer these questions you must have a goal or a priority in mind.

This Seminar Will Help You: Identify your personal attitudes toward time management. Understand why you procrastinate. Discuss key steps in planning and prioritizing. Recognize internal/external time wasters. Utilize time management tools such as “to do” lists and time diaries.

Why is Time Management so Important? Stop procrastination. Accomplish more each day. Feel more in control of your life. Enjoy free time more (and have more of it). Feel less stressed, tense, anxious. Feel greater satisfaction.

Procrastination Definition: To put off, to postpone… Definition: To put off, to postpone… Common behaviors engage in: Common behaviors engage in: , Internet, friends, phone, games, etc. , Internet, friends, phone, games, etc. You need first to know WHY you engage in these behaviors. You need first to know WHY you engage in these behaviors. Then you need to learn HOW to eliminate them. Then you need to learn HOW to eliminate them.

How Procrastination Affects Us End up running from morning until night. Waste time and have to play “catch- up”. Miss deadlines or have time crunch. Poor attention to detail. Sloppy, ineffective work. Stress, tension, anxiety, depression.

Why We Procrastinate Fear of failure. Fear of the unknown. Overwhelming task. Fear of looking foolish. Don’t know where to start. Fear of success. Don’t know how to do the task. Low self-esteem. Ask yourself: Why do I procrastinate?

How to Avoid Procrastination Give yourself a deadline. Use free time wisely. Get help when it’s needed. Work in a “good” environment. Divide large jobs into smaller ones. Keep track of progress. What other methods to avoid procrastination have you tried and how do they work for you?

Self-Regulation Through Time Management You can control your time by: Planning your time. Managing your tasks.

Long-Term Planning Benefits “See” responsibilities. Responsibilities all in one place. “See” heavy and light times. Organize monthly, weekly and daily schedules.

Time Planning: Short Term Two primary methods: Weekly schedules. Daily “To Do” lists.

Weekly Schedules Do at least one week in advance. Include all pre-set activities first. Schedule time to reach goals. Be consistent with planning.

Daily “To Do” Lists Daily reminders. Daily reminders. Include a PRIORITIZED list: Include a PRIORITIZED list: 1. Highest priority (urgent and important). 2. Somewhat important. 3. Least important.

Task Management: Following Through On Your Plans To help you feel more in control of your time: Learn to say “NO”. Do boring or challenging work when your attention is best. Be careful about over-planning. Remain flexible. Be patient. Ask yourself, “Is this the best use of my time right now?”

External Time Wasters Be aware of ways others or the environment waste your time: Interruptions, especially . Office socializing. Too many meetings. Unscheduled visitors. Poor work environment. Unclear goals. Trying to get other’s cooperation. Bureaucratic “red tape”. What other time wasters have you used?

Internal Time Wasters Be aware of ways in which you waste your own time: Procrastination Lack of planning Lack of priorities Indecision Slow reading skills Physical or mental exhaustion Not being able to say “no” Messy work areas Low motivation Others?

TOSS Paperwork/ Trim – remove the excess. Outsource immediately – throw it away or pass it on. Save – file things you must save immediately. 80% of what you keep, you’ll never use again! Start – NOW. Set aside time daily to organize and eliminate.

Take-Home Tips Develop your personal and professional priorities. Find and use a great calendar/planner. Note all deadlines on your planner/calendar. Develop plans – annual, monthly, weekly, & daily. Work on your top priorities first (urgent and important).

Take-Home Tips Don’t schedule more than you can handle. Use small blocks of time wisely. Keep workspace, notes, and planner organized. Avoid interruptions. Learn to say “NO” effectively. Keep track of how you use time.

Take-Home Tips Learn to stay focused so you don’t have to repeat tasks. Delegate tasks where possible. Prepare in advance. Ask for help if a task is difficult. Reward yourself for task accomplishment. Plan time for relaxation & fun!!!!
