First, think about your resources: Talent: ideas People: colleagues, trainees, staff Material: space, equipment, supplies Time

What is time management?

Time management: Just another part of your life

Research grants Funding, by mechanism How come there are so many resources? NO one-size-fits-all answer.

1)Self knowledge 2)Goals - Personal and professional 3)Flexibility - Things change All time management strategies start the same way:

1) There is too much to do; I can’t handle it! 2) There is plenty of time; I can do it later. 3) I’m busier than usual right now. 4) Re-scheduling something for a later time is procrastinating. 5) This little task is not important. 6) Time is money. Myths of time management

1) Indecision 2) Implementing before analyzing 3) Unrealistic time estimates 4) Poor organization and planning 5) Ineffective meetings 6) Lacking priorities Some time wasters

1) Manage decision making, not the decisions 2) One task at a time (no multitasking) 3) Prioritize tasks and goals (not your schedule) 4) Keep things simple 5) Set aside time for high priority tasks and reflection 6) Not wasting other people’s time Some time savers

Homework: Calculate your efficiency ratio ① Keep a detailed time log  Use stopwatch to record all activities during a regular working day  Log activities and times for a week, then sort into general categories ② Analyze your results  Hours of “real work” and hours spent “at work” ③ Calculate your personal efficiency ratio  Efficiency ratio = (Time doing “real work”) / (Time spent “at work”) THEN: ④ Cut back on total hours to force increased efficiency!

Key #1: Mastering time management never ends It is about understanding what is important and planning how to do it.

Key #2: Remember it is YOUR time You determine what is important in your life

Key #3: Establish clear goals This means PERSONAL and PROFESSIONAL goals and includes the input from others. You don’t live in a vacuum…

Key #4: Develop a plan to use your time Think things through… Every activity has a meaning (for your goals) and a purpose.

Key #5: Improve, change habits “Son, I’ve spent 25 years doing it that way...” Fine, but are you doing it well? Be the first to question your processes.

Key #5a: Challenge stereotypes and old solutions Copy strategies/activities that work for you. Remember (4): Everything has a purpose.

Finally, some suggestions… Time is a resource, a tool, not a crutch. Do not depend on time management to solve all your problems and do not ignore the rest of your life in favor of your schedule.
