SuperB Speakers Bureau Charges for Phase 1 (Dec.2009 to Launch of SuperB Council) 1. Jurisdiction: In order to gain the maximum exposure of the SuperB Collaboration during the Collaboration Formative Phase to the Particle Physics community, the Speakers Bureau will facilitate those who represent the Collaboration at International Conferences, International Workshops, and in Seminars at major Particle Physics Laboratories. 2. Membership: The Speakers Bureau consists of three members in Phase 1. Members will be appointed by the Management Board after due consultation with the collaboration. ( It is envisaged that this function will be taken over by Council when the latter comes into existence). Terms of service will normally be for 24 months. They will be arranged in such a way that two members are replaced every 12 months. ….. 4.

Policies - SuperB Speakers Bureau policies for assignment of talks INVITATION POLICY The Project Director and the Physics Analysis Coordinator are the SuperB members primarily responsible for contacting the organizers for all International Conferences and major workshops. The Bureau chair will coordinate all the invitations. Once a conference talk is designated as appropriate for the Bureau's consideration, it will nominate the speaker on behalf of SuperB, from a pool that eventually includes the names proposed by the conference organizers. Thus, a SuperB member who is invited directly by a conference organizer cannot accept the invitation but should inform the Bureau chair who will then proceed with the usual selection process. 5.

Policies (Continued) ELIGIBILITY New members of SuperB become eligible for giving SuperB talks after a service period, the length of which will be set by the Bureau in consultation with the management and the collaboration. Member of the Bureau are not normally eligible (except for ex officio members) to give talks. Exceptions can be made under very unusual circumstances, and only in agreement with the Spokesperson and the Chair of the Collaboration Council. …… Read more on the link from the SuperB Web Page. 6.

Policies (Continued) CRITERIA FOR SELECTION OF SPEAKERS It is in the interest of the collaboration to have the best scientific representation at conferences. The Bureau considers all talks presented by the speakers in its effort to assure an equitable distribution of speaking opportunities for all members of the collaboration. Accordingly, the Bureau takes into account the following list of criteria (not listed in order of priority and not necessarily complete) in assigning talks: * Depth of knowledge of the topic * Importance of contribution to the topic * Aid in career advancement * Desire to speak * Previous talk history * Institutional distribution * Overall contribution to SuperB (detector work, software tools, simulation work and PWG participation 7.

SB Activities (continued) In preparation for this beginning of a SuperB Speakers Bureau, I have set up, with considerable help from colleagues, our web page, and the material has been discussed with the current management. Over the next six months or so, we will move to a more formal management scheme, and the collaboration will vote on the formation of a representative Council and governance rules, and an appropriate committee structure. For the transition period, we propose appointing two new members, as per the proposed draft plan for the Proto-Speakers Bureau. When we vote in Council, governance and new committees, we will define the new Speakers Bureau, its structure and its rules. But until then, SuperB needs a Proto-Speakers Bureau to aggressively seek speaking occasions to help in recruitment and to advertise our exciting science opportunity. I am proposing this, to get us started, and do not expect radical changes to come from the committee to be put in place to consider what SuperB needs. 11.

BaBar has served as a good, smoothly operating model. We have avoided its formal arrangements for practice talks (coordinated by the Deputy Chair) and the point system for assigning talks. As the SuperB collaboration matures, these will have to be implemented in some modified form to assure quality of presentations and fairness to our hard working young SuperBians. The Physics and Detector Coordinators will play an increasingly larger role in the SB interface with conference organizers. The SB secretary will correspondingly play a heavier role in issuing the invitations, in twisting arms and in serving as the SB interface with the collaboration. A database is being thought through to replace the Oracle based BaBar system in order to systemize feedback from PI’s, PWG conveners and System Managers and keep record of and access to talks given at workshops and conferences. FOR THE PI, PWG Conveners, System Managers: SERVICE record plays a decisive role in selecting candidates who otherwise have stellar physics analysis records. When the time comes, PLEASE update the SB-DataBase - to keep the enthusiasm of our young people up and keep SuperB on the Physics Community Radar – even more urgent now that SuperB is not just a dream!
