PORTALS Web Portals, Enterprise Portals, SharePoint

What is a Portal? “A web portal is an access point to information under a unified theme, which is to say a similar look and feel.” – About.com “A web portal is a site that functions as a point of access to information on the World Wide Web. Portals present information from diverse sources in a unified way. Aside from the search engine standard, web portals offer other services such as news, stock prices, infotainment and various other features. Portals provide a way for enterprises to provide a consistent look and feel with access control and procedures for multiple applications, which otherwise would have been different entities altogether.” – Wikipedia.com

Datatel Portal Implementation Best Practices

It’s NOT about the technology “Portals can help employees find information and perform their jobs, though few portal designs are optimal out-of-the-box.” “…the key issues in building a good intranet portal were political and organizational -- not technical.” “Technology accounts for roughly one-third of the work in launching a good portal.” *Intranet Portals: A Tool Metaphor for Corporate Information, Jakob Nielsen, March 31, 2003

Steps For a Successful Implementation Create Project Charter/Approach Doc Define Success Measures Create a Phased Project Plan Create an Adoption Plan Create Project Teams Create the Portal Environments Complete Training & Consulting CELEBRATE Successes!

Planning! Campus Implementation Team(s) Involvement from the entire campus is essential in the quality of the portal & achieving portal adoption  Technical Team  Advisory Team  Taxonomy  Governance  Communications  Marketing/Training  Governance Team

Adoption “ Portal projects are more likely to have a happier outcome if they emphasize user needs from the beginning, and also employ various ways to enhance user acceptance. For example, we've begun to see good use of multimedia and video clips on portal homepages; even something seemingly frivolous like a user poll can help make the portal more fun and appealing.” “…we're seeing a shift in how organizations use portals. Where portals were once pure information aggregators, organizations are increasingly using them as application organizers.” “…portal enhance collaboration within and among team as information is easily shared.” *Intranet Portals Get Streamlined, Jakob Nielsen, October 24, 2005

Critical Factors of Portal Planning Cross-Functional Participation Establish Clear Business Goals Effective Governance Standards & Practices Develop a Well Defined Taxonomy Establish an Marketing Plan Identify Communication Strategies Identify Success Measures Provide Continuous Training Retaining a Portal Governance Team
