2 The Project Management Process Groups

3 Learning Objectives Describe the five project management process groups, the typical level of activity for each, and the interactions among them Understand how the project management process groups relate to the project management knowledge areas Discuss how organizations develop information technology project management methodologies to meet their needs Understand the contribution that effective project initiation, project planning, project execution, project control, and project closing makes to project success

4 Project Management Process Groups Project management can be viewed as a number of interlinked processes Process: a set of interrelated actions and activities performed to achieve a pre-specified product, result, or service Project management processes ensure the effective flow of the project throughout its existence Product oriented processes: specify and create the project’s product

5 Project Management Process Groups The project management process groups include  initiating process group  planning process group  executing process group  monitoring and controlling process group  closing processes

6 INTER PHASE INTERACTION INITIATING PROCESSES CONTROLLING PROCESSES PLANNING PROCESSES CLOSING PROCESSES EXECUTING PROCESSES DESIGN PHASE INITIATING PROCESSES CONTROLLING PROCESSES PLANNING PROCESSES CLOSING PROCESSES EXECUTING PROCESSES IMPLEMENTATION PHASE

7 Overlap of Process Groups in a Phase (PMBOK® Guide, 4th_2008)

8 Developing an IT Project Management Methodology Just as projects are unique, so are approaches to project management Many organizations develop their own project management methodologies, especially for IT projects Others used the PMBOK as a guide in developing their IT project management methodology

9 CONTROLLING PROCESSES PLANNING PROCESSES EXECUTING PROCESSES PROJECT PLAN QUALITY CONTROL RESULT - PROJECT BOOK RECORDS - INSPECTION LOG - REWORK - CHANGE REQUEST -SCOPE CHANGE -SCHEDULE CHANGE -QUALITY PLAN CHANGE -RISK RESPONSE -COST CHANGE INITIATING PROCESSES CLOSING PROCESS

10 3 Major Project Documents Project Charter Project Scope Statements Project Management Plan that includes: 1. Scope management plan 2. Schedule management plan 3. Cost management plan 4. Quality management plan 5. Staffing management plan 6. Communication management plan 7. Risk management plan 8. Procurement management plan Each with its components

Initiating Process Group includes Knowledge AreaProocess Project integration management Develop project charter Project communication management Identify stakeholders 11

12 Example

13

14 Project Planning The main purpose of project planning is to guide execution Every knowledge area includes planning information Key outputs include:  A team contract  A scope statement  A work breakdown structure (WBS)  A project schedule, in the form of a Gantt chart with all dependencies and resources entered  A list of prioritized risks

Planning Process Group includes Knowledge AreaProcess Project integration management Develop project management plan Project scope management Collect requirements; Define scope; Create WBS Project time management Define activities Sequence activities Estimate activity resources Estimate activity duration Develop schedule 15

Planning Process Group includes Knowledge AreaProcess Project cost management Estimate costs Determine budget Project quality management Plan quality Project human resource management Develop human resource plan Project communications management Plan communications 16

Planning Process Group includes Knowledge AreaProcess Project risk management Plan risk management Identify risks Perform qualitative risk analysis Perform quantitative risk analysis Plan risk responses Project procurement management Plan procurements 17

18 Project Gantt Chart

19 Example of List of Prioritized Risks

20 Project Executing It usually takes the most time and resources to perform project execution since the products of the project are produced here The most important output of execution is work results Project managers must use their leadership skills to handle the many challenges that occur during project execution

Executing Process Group includes Knowledge AreaProocess Project integration management Direct and manage project execution Project quality mgmtPerform quality assurance Project human resource management Acquire project team Develop project team Manage project team Project communications management Distribute information Manage stakeholder expectations Project procurement management Conduct procurements 21

22 Project Controlling Controlling involves measuring progress toward project objectives, monitoring deviation from the plan, and taking corrective actions Controlling affects all other process groups and occurs during all phases of the project life cycle Status and progress reports are important outputs of controlling

Monitoring & Controlling Process Group includes Knowledge AreaProocess Project integration management Monitor and control project work Perform integrated change control Project scope management Verify scop Control scope Project time mgmtControl schedule Project cost management Control costs 23

Monitoring & Controlling Process Group includes Knowledge AreaProocess Project quality management Perform quality control Project communication management Report performance Project risk management Monitor and control risks Project procurement management Administer procurements 24

25 Project Closing The closing process involves gaining stakeholder and customer acceptance of the final product and bringing the project, or project phase, to an orderly end Even if projects are not completed, they should be closed out to learn from the past Project archives and lessons learned are important outputs. Most projects include a final report and presentations

Closing Process Group includes Knowledge AreaProocess Project integration management Close project or phase Project procurement management Close procurements 26

27 Post-Project Follow-up Many organizations have realized that it’s important to review the results of projects a year or so after they have been completed Many projects potential savings, so it’s important to review the financial estimates and help learn from the past in preparing new estimates
