Ingest – Acquisition and deposit Irena Vipavc Brvar ADP SEEDS Workshop I Belgrade, October

SEEDS Workshop I Outline PRE-SIP Things to do before SIP Documents to prepare for deposit

SEEDS Workshop I

SEEDS Workshop I PRE-SIP Find you designated community and survey their needs.

SEEDS Workshop I Prepare promotion web pages that will include all necessary information

SEEDS Workshop I Define Scope of collection The holdings of the data archive will include data generated by social science researchers, or in a broader sense any data relevant to society produced by scientists, government institutions, or commercial entities. The data archive will collect both contemporary and historical data. The primary focus of the archive will be on quantitative data in the social science disciplines of sociology, psychology, education science, information science, political science, and economics. The data archive will also collect and curate qualitative data. Students??

SEEDS Workshop I Support Define your support team / your promotors Different institutions or people Library, deans office, research institutions Journals Promote OPEN SCIENCE PRINCIPLES Research publications and research data needs to be openly accessible: to be able to check the validity of published findings / better monitoring, assessment and evaluation of research support multiple findings (using different theoretical starting points, different analytical approaches) based on the existing knowledge.

SEEDS Workshop I Acquiring survey Need to be highly proactive and persistent (open calls, announcements at conferences, and direct solicitation) Need good working relationship with stakeholders an potential depositors (NSI, Research institutes, Agencies…) Promotion activates to raise awareness and encourage despotic (workshop, round tables, training events) Agreements with founding bodies and publishers Data discovery activity (search academic journals) Links with Archives and Research Libraries SERSCIDA, D5.1

SEEDS Workshop I Some of the promotion at ADP Promotion via consortium- CESSDA Research Data Management Plan!!!!

SEEDS Workshop I Register existing data

SEEDS Workshop I PRE-SIP 1 Register existing data 2 Get additional information if necessary 3 Prepare proposal for Commission for study acceptance. 4 Commission decide if study/ data are relevant for secondary use and should be long-term preserved.

SEEDS Workshop I Study accepted Prepare materials for the deposition to the Archives: Fill in the Study description form, providing the following information as well: the title of the study, its authors, the abstract, any other specific information and study methodology description.the Study description form Organize and document microdata file(s) properly. Original questionnaire (printed and electronic version). Prepare other materials which could help interpreting the content of the data. They include: codebooks, frequency files, interviewer instructions, information about carrying out the research and copies of publications. Other accompanying documentation as part of data collection or simply being important for understanding data should be provided as well. Fill in and sign the License agreement form which includes the Overview of deposited materials.License agreement form Deposition to the ADP - Deliver the documentation and the materials using protected Cloud.Cloud

SEEDS Workshop I FORMATS SERSCIDA D5.1, 2012

Document includes: – naming variable, – labeling variables, – label value labels and work with open- answer categories, – work with missing values, – defining type of variables, – transformation of variables, – defining weights, – anonymization (not too much and not too little). RECOMENDATION FOR PREPARING DATA FILE

SEEDS Workshop I ADP – Study classification by relevance The ADP accepts data that meet the basic criteria of quality and are of interesting content for further analysis. Delivered data are regarded as a scientific publication according to ARRS criteria. ARRS criteria for scientific publicationsARRS criteria for scientific publications Study categories: 1. Studies outside the geographic or thematic archive’s framework, 2. Ad hoc limited quality studies, 3. Studies with limited problematic or theoretical framework, 4. Studies with a limited conceptual framework, less methodologically sophisticated, 5. Interesting studies as an attempt to conceptualize a new area at ad hoc samples, 6. Studies with a limited problematic or theoretical framework and a narrower applicability to a number of practical problems; methodologically and contextually improved 7. Theoretically or practically relevant studies limited to a less general population; less influential, 8. Theoretically or practically important studies which fill the research gap or have wide applicability for many practical problems and have a long-term value to science 9. The highest rank, comparative or continual studies, a relevant population, methodologically appropriate.

SEEDS Workshop I Good documentation Data files must be clean and clear; interpretable and searchable (with codebooks) Data should be accompanied with adequate documentation that explains the context of the data collection, methodology, and any material relevant to the data. SERSCIDA, D5.1

Criteria for Study Classification 1.) INFORMATION ABOUT STUDY Title: Year: Author/s: Part of survey series: 2.) CONTENT Short abstract: Topic classification: 3.) METODOLOGY Unit of analysis: Population: Type of data: Method of data collection: Sampling: Response rate: Geographic coverage: 4.) CRITERA FOR GETTING SCIENTIFIC POINTS Continuity of study: YES NO Geographical comparability: YES NO Comparability across time: YES NO Good methodology: YES NO Adequacy of data files (size, usability, quality): YES NO Broader geographic coverage: YES NO Fills research gap: DA NE Broader field of research, broader usability of data: DA NE Relevance and quality of research materials: DA NE ! Commission

SEEDS Workshop I SIP 1 Prepare all required materials and document 2 Use safe transfer options 3 Study custodian check and validate materials 4 Data get ID numbers, are saved and registered in the system
