Folders for each of our spaces… Each of these folders is named after an event space in which we create diagrams. Inside each folder are all the diagrams we have created for that space. Let’s look at some diagrams saved in the folder for our Senior Ballroom…

This page, just showing how we organize our folders. Next page, is a diagram from an event that occurred in our Senior Ballroom from this past spring semester.

As you can see in the previous diagram, the shapes we have created appear on the left. To move them into a diagram we simply grab and drag. Next, is a full-page view of the shapes we have created, just so you can see them to scale.

One of the main reasons that Visio works well for us is because of its flexibility – our spaces do not have a fixed stage and can be set up any way imaginable. Visio allows us to easily move items anywhere in the room. In addition, we can quickly create an object, add notes to the diagram, or paste the diagram into an and send. Here are a few other diagrams that will demonstrate how flexible our spaces are, and that our diagram software needs to be flexible as well…

We considered and tested another scheduling software but in the end we stayed with Visio… the primary reasons were: 1.The ability to easily create random new items. 2.The speed and flexibility of being able to grab and drag objects into a diagram. 3.We started having issues that caused our computer to slow down while using the other software.
