The Next Step Hudson Fare Files 102 – Import & upload Rev. 10/14

Creating and building fare files for the Hudson Ground Transportation System (HGTS) is one of the first and most important tasks you will undertake when migrating to the HGTS suite of applications. It is the foundation for the pricing of all the services you will offer to clients and is where much of your revenue will be generated.

In the first fare file orientation program lesson, Fare Files 101, we reviewed the steps for building a basic airport fare file. Now that we have created a fare file, it must be imported to the Hudson Ground Transportation System so that your staff and clients can create new reservation records using the new / updated fares. Depending on what portions of the HGTS suite you are using, fare files may need to be imported once or twice: HGTS Local System (Agent, Dispatcher, Admin) HGTS Web System Before proceeding, you may want to confirm with your Hudson technician; some clients only need fares imported into the Local System (web fares can be set to be read in real-time from the local system). It is strongly suggested to import fares into the Local system first. This allows you to test new fares before making them ‘public’ on your website.

Alternatively, you can simply click the wrench icon from the menu options to access configuration.

You will be provided with the opportunity to confirm that you have selected the proper fare file for import. If correct, select OK.

Save the file! The fare maintenance window will show you the status of the fare record import. When finished, you will see a brief display of how many records were imported. No other data will be displayed at this time in the window.

By selecting an airport, and the appropriate table from the drop down menus, you will be able to view the fares that were imported. Use the tabs on the right to review fare values.

An important word about refreshing your cache: Each time you launch HGTS applications, they look at a saved configuration file on a server and load / copy the settings, including fare files. By saving or ‘caching’ these settings rather than searching a database with every reservation, the time to look up locations and generate fares is very fast. Any time you adjust the application settings or fares, you need to refresh the ‘cache’. Click the ‘Upload’ button when ready to proceed. A dialog window will open providing you with the information to be uploaded and asking if you wish to proceed. Click ‘OK’ if all is correct. Green = Import Completed NOTE: The ‘Record Count’ value displayed should = the number of records in the fare file. If the number 0 is displayed here, that indicates a problem with the fare file and no fares were imported. Hint: If a ‘0’ appears in the Record Count field, ensure the fare file was saved as a *csv formatted file and not *txt, *xls, *num, etc.

Advanced Information: When working with and importing Alternate Fare Files, file names ending with -1, -2, -3, etc., note that the field labeled ‘Fare Table’ should display the same number as contained in the fare file name, e.g. 1, 2, 3. When importing fare files to the web, you may submit several files for upload at one time. After you submit the first fare file for upload, you may repeat the process and place other fare files in the queue. They will be uploaded one at a time and the colors will indicate the upload status for each file.

Testing: Once again, it is time to test your fare import by entering several sample reservations on your web reservation system.
