How information is managed To begin with all of the hotels systems what deal with customers bookings and all that kind of stuff is all linked to a calendar. This means that all data data what is dealt by this system is known as primary information this is because it is directly obtained from the hotel its self. There are three hotels in this chain and they are all linked together via an information database. This database contain a lot of data relating to the hotels, which I will explain on the next page.

What data does the database contain? The data base contains data such as:  The types of services are available such as whether the hotel is a bed and breakfast or not.  How many rooms each hotel has, and which ones are available.

What the database is The database which links this chain of hotels together contains all the information required in order for staff to book rooms and meet the guests requirements.

Example of how this works Basically how the database input and the retrieval works is:  The customer calls in enquiring about a booking. The employee taking the call will check the database for the date and type of room requested. Because the databases of all 3 hotels is linked if the chosen hotel does not have a vacancy that matches the guests requirements staff can check room availability at the 2 other hotels in the chain.

Example of how this works  Because of the databases being linked this offers more choice to the customer and improves occupancy rates of the hotel chain by avoiding missed booking opportunities.

Example of how this works  If the room is available that matches the customers requirements the database will give the staff the price and all the relevant details which need to be passed onto the customer..  The booking staff will collect information relating to the customer in order to confirm the booking which is stored securely withing the database.

Example of how this works Because the customers details are stored on the database it will be easier for staff to check guests in as it makes it quicker and more efficient.
