Copying and Grouping Worksheets Copies of a worksheet can be made and to prepare additional worksheets with similar data. Worksheets can be grouped, and formatting for all of them can be changed at once. All formatting including row heights and column widths is copied with the data when the Move or Copy dialog box is used. Grouping Worksheets and Deleting Data When worksheets are grouped, editing and formatting commands affect all sheets in the group. If the worksheets have similar data, grouping is an easy way to make changes in all worksheets at once. Grouping Worksheets and Inserting Data Any insertions made in one worksheet of a group will affect all sheets in the group. Formatting Values and Inserting a Function Functions added to one worksheet affect all the other sheets in the group. Inserting and Moving a Worksheet Inserted worksheets can be renamed or moved to a desired location by dragging from the worksheet tab and dropping in the desired location. Filling Data to a Worksheet Data in a grouped worksheet can be copied to another worksheet in the group. When data is copied with the Fill option, column widths and row heights are not copied. Copying Multiple Worksheets When grouped worksheets are copied, a copy of each sheet within the group is created. Scrolling Multiple Worksheets

The worksheet tab scrolling buttons are at the left edge of the tab names. These buttons allow scrolling when a worksheet has many tabs. Lesson Key Objective

Teaching Tip:

Inform students that if the Create a copy checkbox is not clicked in the Move or Copy dialog box, the worksheet will be moved.

Demonstrate how to use [Ctrl] and [Shift] to select more than one object.

Remind students to work on ungrouped worksheets when the data or formatting is intended for a single worksheet.

Teaching Tip:

Inform students that when a new worksheet is inserted, it will take the number after the number of the last worksheet.

Section 12.2 Creating a 3-D reference If a formula refers to cells in another worksheet, the formula is described as a 3-D reference. The formula is a dynamic link between worksheets. If the value in the referenced cell is edited, the formula recalculates the result. A 3-D reference is valuable when a total based on data on several sheets has to be calculated. Pointing to the cells in the appropriate worksheet can create a 3-D reference. Excel inserts the worksheet tab name followed by an exclamation point with the cell address. The exclamation point after the worksheet tab name is sometimes known as an identifier.

Teaching Tip:

Inform students that a 3-D reference uses more than one surface because it uses more than one worksheet.

Have students try entering data by grouping worksheets.

Section 12.3 In addition to simple math, functions can be used in a 3-D reference. Pointing at references rather than keying them in can avoid errors. Using AVERAGE in a 3-D Reference The AVERAGE function can be used in a 3-D reference for calculating the average of data from different worksheets. The MAX function can be used in a 3-D reference to find the largest value in a range of cells in different worksheets. It is in the Statistical category of the Insert Function window. Multiplication can be used in a 3-D reference like other arithmetic operations.

Teaching Tip:

Inform students that Excel includes the worksheet tab name and the exclamation point so they do not have to be keyed in again.

Have students try an example of multiplying data across worksheets.

Section 12.4 Viewing Grouped Worksheets Grouped worksheets are shown in print preview one after the other. Adding a Footer to Grouped Worksheets A common footer can be added to all grouped sheets using File and Page Setup. Print formulas for Grouped Workbooks Formulas can be displayed and printed from grouped workbooks.

Teaching Tip:

Inform students that if they save a workbook while sheets are grouped and reopen it, the workbook will open with grouped sheets.

Additional Notes: Footers can be added from Print Preview dialog box, but only to one sheet at a time.
