Upgrade Overview 8/21/14 2 Continuous Electron Beam Accelerator Facility (CEBAF) at Jefferson Lab, Newport News, Virginia, USA 5.5 pass capable, with recirculating linacs Energy capability upgraded from 6 GeV to 12 GeV Magnets removed and refurbished Additional cryomodules installed New beam line installed New experimental hall

Commissioning Overview A successful commissioning period, December 2013 to May 2014 All major milestones were achieved Some of the success was the result of updated processes and tools used for communication between operations, engineering, and technical staff. 8/21/14 3

8/21/14 6 Required Reading for Operations Checklist requires that the person, read and understand a number of communication tools or documents prior to their shift. I will briefly highlight some of the items on this list, and a few that are not on the list but can be used as resources.

Accelerator Task List (ATLis) 8/21/14 7 Can be used to find more information about specific tasks or test plans. Anyone can comment on tasks. All activities that will directly, or indirectly, affect accelerator operations must have a task in this database. Plan is reviewed by several groups before being approved.

System Checkout Tool Relates the readiness of hardware. Uses a relational database of elements. Item that is “Not Ready” has not been checked or has been downgraded. Technicians have checklists for their systems and “Check” Equipment. Then the respective group leader elevates the state to “Ready”. 8/21/14 8

System Checkout Tool (Cont.) Crews have the ability to check hardware prior to operating the equipment. This is Number 7 on the Operator Checklist Stamp. Tool users have the ability to scroll down to see what components are preventing the “Checked state. 8/21/14 9

Accelerator Bypassed Interlocks Log (ABIL) 8/21/14 10 An “Interlock” is either hardware or software protection for some machine component or personnel safety. All Interlocks that are bypassed are inserted into an electronic log. A tag must be placed on the physical device that was bypassed. Log allows crew to see what interlocks they can expect not to be active. Depending on the state of the bypass, it may affect what hardware can be operated. This is Number 8 on the Operator Checklist Stamp.

8/21/14 12 Beam Authorization Beam authorization is issued by the Director Of Operations. Where can we send beam? Are major systems in a state that we can send beam? What is the highest beam mode we can run? What beam current ?

8/21/14 13 Program Deputy (PD) Shift Plan Web-based tool used to document activities related to a specific shift. This is Number 2 on the Operator Checklist Stamp Provides the program for the shift and any shift-specific instructions PD Shift Plan is created by the Program Deputy (PD) PD rotates every 2 weeks PD is selected by the Operations Group Leader and cleared with appropriate cross- divisional managers.

Some tools will post automatically. Technicians as well as Operations use this tool. Shift Leader has area to make announcements

8/21/14 Shift Turnover Word of mouth is still a great source of information. All crew members are required to arrive 15 minutes before the shift begins to receive passdown of information from the outgoing crew. Equally, the outgoing crew must stay late 15 minutes to give the passdown. Crew Chief and Operators also overlap by one hour for information flow. 17

Beyond Commissioning During commissioning, good communication was key to progress. Some of the tools outlined were old tools and some were brand new. The set of communication tools used for commissioning worked well for getting up-to-date information to the crews. Prior to the fall run, many components were downgraded in readiness and then rechecked. Some of this same process will be used again, after commissioning is complete. 8/21/14 18
