What do we mean by Community of Practice? A community of practice is a group of people who share a craft and/or a profession. It is through the process of sharing among themselves information and experiences Communities attributions are: ▪ Social in nature ▪ Involves a network of people. ▪ Has a Common goal. ▪ Supportive and are aware of their roles ▪ Are seeking ways to develop and grow ▪ Share common values

Gains by establishing such Communities? A community of practice will be an enabler to implement the think K concept, are important because : ▪ Nurture functional experts / improved staff skills ▪ Create a more innovative culture ▪ Reduce duplication of efforts ▪ Foster interactions and encourages a willingness to share ideas. ▪ Provide easy Access to information ▪ Explore new possibilities, solve challenging problems, and create beneficial opportunities. ▪ Drive The Oil Sector Corporate Values (Motivation / Corporate Thinking /Flexibility / Excellence / Partnership)

How to set up the Community Governance in the Oil Sector? Step 1: Agree on a functional area to use for the pilot Phase (i.e. HR, Finance, etc.). Step 2: Appoint a Committee Sponsor Step 3: Establish the Community Board.) Step 4: Start the process of setting up the Community Step 5: Official Launch of the Community Step 6: Start accepting members

Tools to be used by the Community ▪ Web Page: ▪ s ▪ WhatsApp ▪ Periodical meetings/gatherings ▪ Advocating thoughts through publishing papers

What do I need to do to be a member in the community? Membership is open to the employees in the Oil Sector belonging to the selected functional area. Members will have full access to the webpage, knowledge database and training events or conference arranged by the committee. To be a member, an electronic form located on the web page needs to be completed. The community board then approves or rejects the membership.

What are the financial implications of creating such communities? ▪ Since the Community is run by K Companies and is all in-house, there are no costs associated with salaries or extra benefits. Professional / Functional Team: ▪ Approach third party vendors to publish reports related to the selected functional area. ▪ Manage the membership process of the community ▪ Gather and Upload information to the Knowledge management system

Media Team: ▪ Prepare and implement the communication plan. ▪ Designing and printing the Communication material. ▪ Identify the Communication Channels. ▪ Responsible for arranging logistics. (events / workshops)

Legal Team: ▪ Responsible to maintain the confidential identity of the Oil Sector. ▪ Legality of establishing such community ▪ Potential cases that may arise. (whether from the website or the community)

IT Team: ▪ Maintain an easily accessible archive system and community “home page” using a web page dedicated to the community. ▪ The web page must include the following: a home page, an "about us" page, A Q&A section (forum), A section where employees can upload ideas /articles, a section containing official documents like policies trends, event plans, conferences, training, consultant list, A contact us page, a page showing what are the criteria required to apply for membership. ▪ Provide appropriate access as required. (for example, read only access or administration user, etc)

Community Board: ▪ Agree on the scope and work plan. ▪ Define the appropriate tools for the community and ensure the development of such tools. (webpage, workshop) ▪ Assign roles and responsibilities for the different teams. ▪ Establish appropriate teams such as Functional / Professional team, legal, IT and Media Relations teams. ▪ Quality assurance on the content of the knowledge management systems. ▪ Flag “burning issues” for attention of the sponsor.

Sponsor: ▪ Establish the Community Board. ▪ Provides the mission and vision for the community. ▪ Provides Resources whenever necessary (funding the committee, resolving issues). ▪ Approve key outcomes from the community. ▪ Supports the Communication plan.
