Writing a data management plan (DMP) Stephen Grace and David McElroy Writing a DMP workshop, UEL 5 March 2015

Outline of the workshop Welcome and introductions What is a DMP and what is A look at some real plans Work through drafting your own plan Summary and guidance

Introductions Your name Your research interests Your data Any experience of DMPs

What is a DMP? A brief plan that outlines what data will be created and how how it will be managed (storage, back-up, access…) plans for data sharing and preservation CreateDocumentUseStoreSharePreserve

Why develop a DMP? DMPs are often submitted with grant applications, but are useful whenever researchers are creating data to: Make informed decisions to anticipate and avoid problems Avoid duplication, data loss and security breaches Develop procedures early on for consistency Ensure data are accurate, complete, reliable and secure Save your time and effort

Which funders require a DMP?

Expectations at UEL RDM policy (March 2012) and other policies stipulate:policy UEL owns the data generated by staff it employs Researchers themselves should manage data to high standards Presumption of release (safeguarding legitimate interests and respecting data protections) when data are ready No exclusivity when giving data to commercial interests (unless as a condition of funding) DMPs to record datasets, their management and sharing is mandated for externally funded projects, recommended for others Retention for ten years (or to meet funder requirements) and 5- yearly review Data repository as a managed environment for data suitable for sharing and/or secure storage (

Five common themes in DMPs 1.Description of data to be collected / created (i.e. content, type, format, volume...) 2.Standards / methodologies for data collection & management 3.Ethics and Intellectual Property (highlight any restrictions on data sharing e.g. embargoes, confidentiality) 4.Plans for data sharing and access (i.e. how, when, to whom) 5.Strategy for long-term preservation

Sample DMPs Take 10 minutes in pairs to review a sample plan –What does it say about data creation – formats, methods? –How are the data being managed during the research project? –Are there restrictions on sharing? –What is the intended fate of the data? –Is it clear who does what and when?

What did you learn from looking at the example DMPs?

Using a short DMP template 1.Overview 2.Defining your data 3.Looking after your data 4.Sharing your data 5.Archiving your data 6.Executing your plan Adapted from template by Jez Cope, Research360 project, University of Bath © 2013 Licensed under Creative Commons CC-BY 3.0 licence.

Using DMPonline 1.Go to 2.Click on Sign up 3.Enter your , University of East London and give yourself a password 4.Click on confirmation to validate 5.Then create a new plan using UEL staff template (or PGR if a research student)

DMPonline

Review of drafting exercise Were any questions particularly difficult to answer? Do you need to investigate further, or seek advice – and from whom?

Next steps Complete online DMP for your own benefit Students, share it with your supervisor We are happy to comment: share plans on DMPonline with and Revisit your plan in 6/12 months, and revise in the light of experience

What funders look for ESRC guidance for peer reviewers – MRC guidance on DMPs (for peer reviewers) – Clips of DMP presentation by Peter Dukes of MRC – Wellcome Trust guide on developing a DMP –

 Building a research infrastructure and support service, including repository for data you wish to sharerepository  Help when you write Data Management Plans for grants to increase your chances of getting funded  Advice and signposting with your own data needs and questions  Training for research staff and students
