USER MEETING 2016 Thomas Strauss NN

Summary ~250 people went to Festa Italiana, Georgio likes the new time but would like to improve some items like the Raffle, UC much better place to spread out people: next year at WH to profit from New Perspectives audience too?!? 494 people registered, about 100 did not pick up their badges (no shows?!) The most attended session was Nigel’s talk and Q/A, success (Some people like horses) The URA award session was placed before Poster Session (and Free Food) to attract more audience (that did not work well, maybe 250 in the room for talk DOE session very poorly attended ~390 people came for the free food (hand out tickets in last session for food and beverages? What about Families? The beer was bad Without conference & users office an impossible task to do

Comments Speaker 1: One of my concerns is relatively small number of attendees at least at some sessions, including during talks from funding agencies. May be adjusting agenda next year (to group talks a little differently) will help? Another comment is about talks on the status of Fermilab experiments. They were "too general", while I would expect much more "status updates" talks. You, as organizers, should guide the speakers (to the extent you could). Speaker 2: Thanks for your mail, the invitation and for organizing an excellent meeting. I enjoyed it. URA It is always a pleasure to participate in the Users Meeting, and this year was no exception. There is such wonderful energy and creativity in the presentations and reports, and you did a masterful job keeping them all on schedule. Having Leon Lederman there as well during the presentation of the APS historical site award was a lovely touch, and Francis Halzen was just terrific as the guest lecturer. Thank you for your efforts. I think it went well, as a whole, although, as I feared, putting the awards at the tail end of a long day significantly diminished the audience for the two awardees, and that can be disheartening. Perhaps this is something we can keep in mind next time around.

Summary of 2015 – learning a lot DRAFT

Budget needs to be reworked We had not enough money for some items like Banquet Estimated $25/person, realistic $32/person (thanks to Melody) Separately bought silverware to save costs Next year Festa Italiana has to use Liquor Licence More expenses for their wine (will go up by 25%) Travel support this year for invited speaker very low One awardee was onsite Registration materials were cheaper Only badges, no folders and pens

Changes to next year NO Dinner at Chez Leon stressful, time-consuming to go over and come back for lecturer Relict from the time the UM was in Kuhn Barn We can get plated service at WH for the VIP People LOVED that Nigel was at the Poster Session Vendor Exhibition We like to get vendors to display their ‘state of the art’ stuff to attract more people. Under ‘negotiation’ with Procurement Poster session – better coordination with FSPA Attendance We have to force more people into session, DOE session and award session were nearly empty: Use public shaming!!! Make sure no DOE reviews or Collaboration Meetings get sheduled, eg reserve the DATE to spokesperson + Co asap!
