Microsoft Word Font, Paragraph Formatting and Picture Toolbar

Font Formatting Any attribute of a font can be changed by opening the Font Formatting box. Drop-Down Menu: Menu Bar > Format > Font Keyboard Shortcut: CTRL+D Fonts can also be changed using the Formatting Toolbar in the top right corner of the window.

Font Window

TerminologyExamples Font Times New Roman, Arial, Tahoma Style Regular, Bold, Bold Italic Size 12pt, 20pt, 36pt Colour Automatic, Red, Blue Underline Style Words only, Single line, Double line Underline Colour Automatic, Red, Blue Effects None, Strikethrough, Small Caps

In the Font Formatting box, the changes are shown in a Preview Window before they are made to the document.

Insert a Hyperlink When text is also a hyperlink, it appears blue, bold, and underline. Right-click on the link or hold the CTRL key while Left-Clicking to access the website. To create a hyperlink, select the text, right-click on it, and enter the website address.

PARAGRAPH FORMATTING Paragraph formatting can be changed using the Paragraph Formatting box. Drop-Down Menu: Menu Bar > Format > Paragraph

Paragraph Formatting The most common attributes to be changed are Alignment, Indentation and Line Spacing. Alignment –The body text is usually aligned to Left, Right, or Centre of the page. Line Spacing –The default Line Spacing is “Single.” The user can select “Double,” “1.5 times,” or a “Custom” spacing.

Paragraph Formatting Indentation –Left: indents the entire paragraph from the left- hand side –Right: indents the entire paragraph from the right- hand side –Special: First Line: indents only the first line of each paragraph from the left-hand side Hanging: does not indent the first line but indents every other line from the left-hand side

Right Click Shortcut Font and Paragraph attributes can be quickly changed by: selecting the text to be changed right-clicking the mouse selecting Font or Paragraph from the drop-down menu

Clear Fonts and Formatting To clear all of the formatting for a particular section of text, select “Clear Formatting” from the drop-down menu at the absolute left of the Formatting Toolbar.

Toolbars Microsoft Word has several different toolbars that can be used to quickly access features ranging from text formatting to drawing tools. Not all of these tools are among the “default” toolbars so they have to be turned on manually.

Toolbars From the top drop-down menu, select “View” then “Toolbars” Go to “View” in the file menu, highlight “Toolbars”, and look to see which ones have a checkmark next to them. This indicates that the Toolbar is pictured somewhere on your MS Office Window. To “de-select” a particular toolbar, you mouse click on it, and remove the checkmark. The toolbar disappears from your window.

Picture Toolbar allows the user to insert pictures into documents and customize the brightness/contrast, the colour, the size, and how the text wraps around the image
