Contract amendments completed and expected Simon Lambert, STFC General Assembly Meeting, London, 16 May 2013 Co-funded by the European Union under FP7-ICT aparsen.eu #APARSEN Contract amendment no. 2 In progress since late 2012 Motivations: - General refocussing and rationalisation of participants’ effort across work packages for greater coherence - Adjustment of timing of deliverables to reflect experience in the project to date - Substituting to the extent needed and possible for the departure of Philips Consumer Lifestyle and Microsoft Research Limited - Strengthening the management structures of the project

Contract amendments completed and expected Simon Lambert, STFC General Assembly Meeting, London, 16 May 2013 Co-funded by the European Union under FP7-ICT aparsen.eu #APARSEN Contract amendment no. 2

Contract amendments completed and expected Simon Lambert, STFC General Assembly Meeting, London, 16 May 2013 Co-funded by the European Union under FP7-ICT aparsen.eu #APARSEN Contract amendment no. 3 Expected later in the year, to cover: - Formal withdrawal of IKI-RAS - Minor correction to costs of ONB - Introduction of electronic reporting (to be decided)

Contract amendments completed and expected Simon Lambert, STFC General Assembly Meeting, London, 16 May 2013 Co-funded by the European Union under FP7-ICT aparsen.eu #APARSEN Electronic reporting The Commission also decided to allow consortia of ongoing projects to opt for the application of the electronic-only signature and transmission of financial statements (Form C), and electronic-only transmission of certificates on financial statements and certificates on the methodology (Forms D and E). To this end beneficiaries must introduce a request for an amendment via the coordinator. Instructions on how to request such an amendment and the template amendment letter to be sent by the coordinator to the Commission are enclosed to the present . Please note that before requesting such an amendment, you should make sure that all beneficiaries have nominated a LEAR empowered to assign the person(s) authorised to act as signatory/signatories of financial statements (forms C). Once the grant agreement is amended, the consortium shall transmit the reports and other deliverables through the coordinator to the Commission using the electronic exchange system set up by the Commission. In particular: - Form C must be electronically signed and transmitted through the electronic exchange system by the authorised person(s) within the beneficiary’s organisation. - The certificates on the financial statements and the certificates on the methodology must be hand-signed by an authorised person of the auditing entity on paper and a scanned copy of the certificates shall be transmitted through the electronic exchange system.

Contract amendments completed and expected Simon Lambert, STFC General Assembly Meeting, London, 16 May 2013 Co-funded by the European Union under FP7-ICT aparsen.eu #APARSEN Electronic reporting From PO: This is an offer to request an amendment to the grant agreement if you wish it to be in line with an update applicable from 1 January It is not mandatory, and you are free to decide to keep the current version. The change is that cost statements are being signed electronically instead of sending them in on paper. This implies that all consortium partners use an electronic signature tool. The persons having the right to sign with the tool are being entered by the LEAR (legal representative) of each partner. The appointment of a LEAR therefore becomes mandatory. So I would advise that you check if all organisations in your consortium have appointed a LEAR, and if not, if that is worth the effort. Please note that all partners have to use electronic signatures or the usual paper submission, and you could not have mixed processes within one project. On the other hand, the amendment procedure is simple both for you and for us – basically you just need to get the model letter signed. If all partners would like to go for the electronic signatures, don't hesitate to ask for it.
