Course Objectives: At the end of this course you will be able to perform transactions in the below mentioned tabs in the Employee Maintenance module of HRMS solution. Employee Personal Details Relation Details Disciplinary Action Asset Management Master. Asset Management. Employee To Site Mapping. The first two sections are Employee Personal Details and Relation Details and these sections have to be updated by every employee. The admin person does not update this section. Its just like updating our profile in Ultimatix. Objectives GD Note: Standard Objective screen.

Introduction Employee Maintenance module is an employee related module dealing with their activities on a day to day basis. It keeps track of the following details about any employee: Personal details/Family Details. Any act of indiscipline. Assets given for business needs or continuity. Access to other locations of the organisation. Arpit Ajmera has been newly recruited in Adhyayan University for the post of a lecturer. He has received his login credentials to the iON solution using which he will have to update his personal details in the Employee Maintenance module of the HRMS Solution. Let us see how it is done in the system. Employee Maintenance – Introduction GD Note: We can have the diagram on the next slide as the graphic for this content.

Arpit will access the iON website and login in to the system with his credentials. Webtop Login

The Webtop appears. Arpit will click on the HRMS Solution icon to proceed further. Employee Maintenance

Employee Maintenance – Employee Personal Details He will select Employee Personal Details and proceed further.

The details captured in the system during recruitment will appear in this section and the rest of the details have to be updated by Arpit especially the mandatory details under the various tabs from Personal details to Additional Details. Employee Personal Details

Arpit has filled all the mandatory details. He will click on the Save button to update his profile details in the system.

The confirmation message Data Saved Successfully appears. Employee Personal Details

Arpit has successfully updated his personal details in the system. Try it Let us now see how he will update his family details. Employee Personal Details

After filling the personal details,he will proceed to update his Relation Details. From the Employee Maintenance Module,he will select Relation details Relation Details

I n this section, Arpit will click on the Add Row button. He will enter the mandatory details and click on the Save button to update his relation details in the system.

The confirmation message Data Saved Successfully will appear. Relation Details

Arpit has successfully updated his personal details in the Employee Maintenance module. The above sections dealing with Employee Personal Details and Relation Details are to be updated by the every employee of the organisation. Try it. Let us see how the Disciplinary Action module can benefit the organisation. Relation Details

Disciplinary Action is a feature that allows an organisation to define its discipline structure. It can be used to track and manage activities of indiscipline and can also be referred to while considering any employee for promotion. We will use two scenarios to demonstrate Disciplinary Action. Scenario 1: Mr. Tandon searches records to check if anything was reported against Tara Bakshi as he is considering her for promotion. Scenario 2: Mr. Tandon has found an employee with attendance issues and wants to make an entry of the same in the HRMS solution through the Disciplinary Action feature. Let us now look at scenario 1. Introduction - Disciplinary Action

From the Employee Maintenance module, click on Disciplinary Action. Disciplinary Action – Scenario 1 Mr. Gaurav Tandon, Principal at Adhyayan University wants to look into the profile of an employee to consider her for promotion. Her name is Tara Bakshi and she has been an asset to the University because of her hard work and dedication. And so in order to check her profile, Mr. Tandon will have to access to the Employee Maintenance module. He will check the disciplinary action section to see if there was anything reported against her in the past. Let us see how it is done in the system. 1 2

Click on the Employee Number look up to proceed. The Employee Disciplinary Cases screen will appear. Now Mr. Tandon wants to search for Tara Bakshi's record in this section. 1 2 Disciplinary Action – Scenario 1

Click on the Search button. Disciplinary Action – Scenario 1

Select the radio button next to employee number 1016 which is for Tara Bakshi and click on the Select button. Disciplinary Action – Scenario 1

After selecting Tara Bakshi's employee number,click on the View button. Disciplinary Action – Scenario 1

All the instances when a disciplinary action was taken against Mrs. Bakshi will appear in this section. Here as you can see, there is one record of Mrs. Bakshi coming late to the University on 11 th January As per that record, she was given a mild warning for her late coming. Accordingly Mr. Tandon can draw a conclusion for promoting Mrs. Bakshi. Disciplinary Action – Scenario 1

Mr. Gaurav Tandon has also found some Attendance issues with a faculty staff named Indrajeet Khamba and he has decided to make a note of it in the Disciplinary Action section. Let us see how it is done. From the Employee Maintenance module, click on Disciplinary Action. 1 2

Disciplinary Action – Scenario 2 Click on the Employee Number look up.

Disciplinary Action – Scenario 2 Click on the Search button.

Disciplinary Action – Scenario 2 Select the radio button next to employee number 1012 and click on the Select button.

Disciplinary Action – Scenario 2 After selecting the employee number, click on the Edit button to proceed.

Disciplinary Action – Scenario 2 The Employee Disciplinary Cases screen appears. Click on the Add Row button to proceed.

Disciplinary Action – Scenario 2 A new row appears. Now enter the mandatory details in this section to record a disciplinary action.

Disciplinary Action – Scenario 2 Enter the details in the mandatory fields such as, Location: Adhyayan University. Misconduct: Absenteeism. From Date: 2 nd Jan To Date:11 th Jan Action Taken: Warning. Severity Level: High. Status Effective Date: Today's Date.

Disciplinary Action – Scenario 2 After you have entered all the mandatory details, click on the Save button.

Disciplinary Action – Scenario 2 The confirmation message Data Saved Successfully appears.

The Asset Management Master will help to define the various assets that are provided by the organization such as laptops,mobiles and so on to the employees for various business needs. It also keeps track of the departments and the heads issuing the assets. Asset Management Master

From the Employee Maintenance module, click on the Asset Management Master. Asset Management Master Mr. Koreth wants to define certain assets and also enter details of the issuing department. Let us see how it is done. 1 2

Asset Management Master The Asset & Department Details screen will appear. Click on the Get Detail button.

Asset Management Master Now the existing asset and department details will appear. Click on the Add Row button to proceed.

Asset Application feature is provisioned for employees to request for various assets they may need for their business requirements. Every employee is provided with access to the Self Service portal which is like a personal dashboard for them to access their own individual profiles. They can view and request for the various benefits made available to them by their organisation. Asset Application

From the Employee Maintenance module, click on Asset Application. Asset Application Sweety Saxena, an employee at Adhyayan University has raised an asset request through the Self Service Portal for a laptop. The request has been submitted and Mr. Tandon will verify and validate the request. If found to be appropriate,Mr Tandon will approve the asset request for a new laptop. Let us see how it is done. 2 1

Asset Application The Asset Application screen will appear. Click on the Employee Number look up.

Click on the Search button. Asset Application

Select the radio button next to employee number 1001(Sweety Saxena) and click on the Select button. Asset Application

Now click on the View/Update button.

Asset Application The Approve /Reject screen appears. Enter Approved in the Comments Section and click on the Approve button. Mr. Tandon has verified the asset request and will go ahead and enter his remarks in the Comments section before approving or rejecting the asset request for Sweety Saxena. 2 1

Asset Management has information of the different assets provided by the organisation to the employees for various business needs. It also has information about the employees in to whom a particular asset is tagged and the duration for which it will remain with that employee. This is a search and a view screen only. From the Employee Maintenance module, click on Asset Management. Asset Management Mr. Tandon wants to check which assets are given to Professor Komal Totlani. Let us see how he checks the status of assets given to her. 1 2

Asset Management Click on the Employee Number look up.

Asset Management Click on the Search button.

Asset Management Select the radio button next employee number 1004(Komal Totlani) and click on the Select button.

Asset Management After selecting Professor Komal Totlani, click on the View/Update button.

Asset Management After you click on the View/Update button,the Get Detail button is enabled. Click on the Get Detail button to see the asset details attached to Professor Komal's employee number

Asset Management The details of assets tagged to Professor Komal Totlani will appear. Mr Tandon has reached the asset details screen and is able to see all the assets tagged to Komal Totlani. He has checked the status and is now aware of the duration for which these assets would be with Komal.(We can show a few assets like laptop/mobile/data card on this screen as tagged to Professor Komal) 2 1

The Employee To Site Mapping feature helps to assign access to employees to other sites of the organisation. Mr. Joyous Koreth, admin head at Adhyayan University wants to give access to an employee to their new branch. Employee To Site Mapping

From the Employee Maintenance module and click on Employee To Site Mapping Employee To Site Mapping Mr. Koreth wants to allow access to Sheetal Jain into the new Branch. Let us see how it is done. 2 1

Click on the Employee Number look up. Employee To Site Mapping

Click on the Search button.

Employee To Site Mapping Select the radio buttion next to employee number 1008.(Sheetal Jain)

After selecting Sheetal Jain's employee number, click on the Get Detail button. Employee To Site Mapping

Click on the Add Row button.

A new row appears. Employee To Site Mapping Click on the Site Code look up.

Employee To Site Mapping Click on the Search button.

Employee To Site Mapping Select the radio button next to AGI – Sch and click on Select.

Employee To Site Mapping After you have selected the Site code, click on the Save button.

Employee To Site Mapping The confirmation message Data Saved Successfully Appears.
