Objectives 1.To create a clutter-free workplace for better movement and comfort of employees. 2.To avoid unnecessary accidents caused by disorganized workplace. 3.To help improve and promote discipline amongst employees.

A workplace organization methodology that describes how to organize a work space for efficiency and effectiveness by identifying and storing the items used, maintaining the area and items, and sustaining the new order. Definition

1. SEIRI 2. SEITON 3. SEISO 4. SEIKETSU 5. SHITSUKE The 5S concept has its origin in Japan in the later part of 20th century. Each of the five S's denote the first letter of five Japanese words

Elements of 5 S Comprises of 5 simple steps: 1. SEIRISorting Out 2. SEITONSystematic Arrangement 3. SEISOSweep, Shine, Scrub 4. SEIKETSU Standardization 5. SHITSUKE Self Discipline

Step 1 - SORTING Segregating necessary from unnecessary and throwing away what is not required at all. (The objective of saving and recovering space)

Decide what you need Remove unnecessary clutter All tools, gauges, materials, classified and stored Remove items which are broken, unusable or only occasionally used Step 1 - SORTING

SORTINGScrapRecyclableRejected Not in working order NecessaryRepairableIrreparableDisposeUnnecessary No potential use Discard Potentially useful Move to required location for repair Require special disposal Arrange disposal

PRIORITYFREQUENCY OF USEHOW TO USE LowLess than once per year Once per year Throw away Store away from the workplace AverageAt least twice/6 months Once per month Once per week Store together but offline HighOnce Per DayLocate at the workplace

Step 2 - Systematic Arrangement Putting things in order after Analyzing why Getting things out and putting them back takes so long

Having a place for everything & everything in its place (Office) Categorization of files, mails, papers, etc. Binders kept vertically, not laid out Compartmentalization of desk drawers/ shelves/cabinets Prioritizing the things to do - planning a sequence Labeling/identifying drawers Color coding Decide `how much’ of what is needed

Step 3 – Sweep, Shine, Scrub Create a spotless workplace Identify and eliminate causes of dirt and grime – remove the need to clean Sweep, dust, polish and paint

Before and After

Step 4 - Standardization Standardize clean-up activities by: Sustaining five-minute daily clean up habit Keeping a balance between personal cleanliness and the cleanliness of the environment / work place Avoiding littering. Learning to pick-up tiny pieces of waste around Regularly audit using checklists and measures of housekeeping

Step 5 – Self- Discipline Instilling the ability of doing things the way they are supposed to be done Becoming a role model by treating your work place as your second home Influencing others to join in keeping a well- maintained work place. Aiming for constant improvement
