The Roads Module A Budgeting Tool

Budgeting Basics Costs entered in Genus can be extracted using the reporting tools on Citrix GENUS MSAccess

Key Fields Data entered in the fields of these options will be presented in the reports that summarize business expenses. The key sections of the roads module for business planning and reporting are: - Road Attributes - Road Activities - Structures

Navigating to the Attribute Option Find the road on the navigator tree Open the road menu with a right click Select Attribute to enter tabular road data

Key Road Attribute Required for Reporting – Operating Area Do not populate the Accounting Type field until FSR construction is completed. Operating Area allows queries by Field Team / Operating Area

Entering Road Construction Costs Estimated cost is a corporate mandatory to enter planned costs for BCTS construction activities on planned FSR’s. Start StaEnsure the correct start station is entered. End StaEnsure the correct end station is entered. PlannedEnter the planned completion date. CompletedThis field is only populated once road construction is completed.

Planned Cost Window Click the Radio button to access planned cost window Items are linked to service line codes as loaded into the roads maintenance table (see RAMIT user Guide for details) Choose the item that matches the construction type

Planned Cost Window Enter comments related to the estimate including initials of individual Enter the project cost estimate excluding structure costs Insert the date of the predicted expenditure The date will allow filtering by fiscal year

Generating Road Activity Reports 1.Select Reports from the main menu 2.Select Road Activities 3.Select Construction

Choosing the Template 4.Choose the template for your Field Team 5.In the Operating Area Field, select Containing 6.Select load to load the template 7.The operating areas in the template will appear in the Operating Area List

Generating The Report 8.Set the date for the planned activities – 3 year Budget 9.Generate the report by selecting the barrel

Final Report – Road Construction F10 - F12

Entering Structure Costs From the activity tab right click on the road icon; select the structure tab

Enter the Structure Details Select the type of structure Enter the mid, start and end point of the structure Enter the status and class Enter the planned date Enter the planned costs
