Prepare A Report

Report A document containing information organized in a narrative, graphic, or tabular form, prepared on periodic, recurring, regular, or as required basis. Reports may refer to specific periods, events, occurrences, or subjects, and may be communicated or presented in oral or written form.

How to prepare a report? In constructing a report, one must have a number of component with which to work. First task is to select and arrange components to meet the requirements of the given situation. The components are prefatory part, report proper and appended part.

Prefatory parts Title fly The title fly contains only the title. Title page The title page includes the title, the receiver and the writer of the report. It also displays other information essential to the report’s identification. In constructing title page, one should include complete identification of one’s and the authorizer or recipient of the report. Letter of authorization A report may be authorized orally or in writing. If yours is authorized in writing, you should insert a copy of this document after the title page.

Letter of transmittal Most formal reports contain some form of personal communication from writer to reader. The letter of transmittal is a letter that transmits the report to the reader. Table of contents The table of contents gives headings and page numbers. If the report has a number of tables, charts, illustrations and the like. One must set up a separate list of illustrations. Executive summary The executive summary is the report in miniature. It concisely summarizes all the report’s essential ingredients. It includes all the major as well as the primary analysis and conclusions derived from them. It is designed for the busy executives who may not have time to read the whole report.
