T6 Pilot Report on Phase 1 (the first 7 rows of shelving)

What was in the first 7 rows on T6 when we started phase 1 of the pilot? SHELVING 106 double sided shelving units, most of which have 7 shelves on each side About 1480 shelves with a capacity of 4440 linear feet SUBJECTS AND ITEMS About 80% of materials were in LC ranges HF-HG: Business, accounting, finance, entrepreneurship, career guidance, etc. About 16% were HM1-HM261: General Sociology About 4% were over-sized items for entire floor HF-HX, and J-JV: (business, sociology, family, communities, criminology, political science, etc) 1731 journal volumes and 28,492 non-journal items

Three main strategies for reducing print footprint 1.Remove unneeded volumes a.Remove print journals for which we have long term online b.Liaison walks the stacks and identifies unneeded sets c.Remove unneeded older editions, extra copies, etc 2.Formula Weed a.Items published with no circs since Because of several exceptions (faculty authors, Gov docs, etc.) only about 82% are weeded. 3.Compression a. By decreasing the empty space on each shelf to 4 inches, our remaining shelving across all floors will be able to house an estimated 60,000 more volumes than it does currently

Number of items FIRST 7 ROWS OF T6 Journal volumes down 521, from 1731 to 1210 Non-journal items down 5127, from 28,492 to 23,365 The number of items reduced is much larger than the number of titles reduced. For example, the 521 journal volumes did not result in any loss of title access. For monographs, many of the items were older editions and second copies. Note: we intend to remove smaller percentages of materials from monograph intensive disciplines such as History and English ENTIRE LIBRARY COLLECTION TITLE COUNT Up 90,544. From 2,066,185 to 2,156,729.

Space We need to remove 33 shelving units from T6 this coming summer Access Services is still compressing the first 7 rows, but based on what they have done so far, the T6 phase 1 pilot is projected to free about 21 shelving units (with about half of that coming from compression instead of weeding) We are on track to return T6 to the original shelving configuration this summer, freeing up the T6 alcove and making room for more seating on the elevator side of the floor

Lessons learned This is a good opportunity to selectively remove undesirable formats such as CD-ROM’s, cassettes, spiral bound, loose-leaf, etc When possible, we should use 2 student studies on the active floor. It is best to compress during the summer, when only 1.4% of the collection is checked out Disciplines differ in their reliance on print monographs. Our strategies should reflect that.

Collections benefits of the project Hundreds of mis-shelved books have been found and returned to their proper place. We are, in effect, conducting an inventory of 15% of our collection. We are finding many missing items and deleting the catalog records. We are removing damaged materials that might otherwise need to be repaired We are removing cassettes and other obsolete formats that are unlikely to be useful to patrons By removing outdated materials, we are pushing our users towards newer (usually more accurate) information Because we are keeping all the books, the shelves are looking newer and fresher than before. Some libraries experience an increase in circulation after these types of projects

Next Steps Communication Plan – Letter/ is ready to go out next week T6 pilot phase 2 – target completion date Dec 2016 T6 phase 2 pilot report – Dec 2016 If we agree to proceed after the phase 2 report, complete weeding of T5 by May 2017 Compress T6 (and maybe T5, if approved) to create more user space - Summer 2017 Weed T4, T3, and T2 and redistribute books across bottom half of tower – Timeline TBA Weed T7, T8, and T9 and redistribute books across top half of tower – Timeline TBA
