STAFF CONNECT / Enabling staff to access and take control of their data What is Staff Connect? When will Staff Connect launch? What is Staff Connect? A new online HR and Payroll System being rolled out in multiple phases: Phase 1 Replacement of the current HR, Payroll and Pensions system Higher Education Statistic Agency (HESA) statutory returns Introduction of first phase of self-service for staff Introduction of first phase of manager view Later Phases Will see the introduction of further features and functionality.

What is Staff Connect? What will you be able to do via Staff Connect? View the details you have given the University – e.g. contact details Where appropriate be able to edit these details – e.g. change tel. no. View your pay documents: Payslips (visible for 3 years on your Staff Connect account) P60s (visible for the duration of your employment with UoK) Download your pay documents In addition managers will be able to view the employees that report to them via Staff Connect and access reporting services.

When will staff connect launch? Staff Connect is planned to launch March 2017. Before we launch a wide range of “checks and balances” will be undertaken. Due to this complexity, we will only confirm go-live in the launch month itself. The project will provide updates and demos throughout the Autumn preparing staff for the launch. A wide range of communications will be used to ensure all staff are aware of launch and how to access Staff Connect.

Accessing Staff Connect How will you access Staff Connect when it is launched? Via the Quicklinks on the staff and student home pages Or directly at: https://staffconnect.kent.ac.uk At present if you go to the Staff Connect website you will find the project support pages. The system itself will appear at this address when we launch.

Accessing Staff Connect Where you access Staff Connect will affect whether you will be able to just view your details or edit them where appropriate. If you want to update your details on Staff Connect when you are away from campus, rather than just take a look, for security, you need to connect to the VPN service first by following the instructions at https://www.kent.ac.uk/itservices/home/index.html . Once connected to VPN, you can log on to Staff Connect as usual and update your details. You need to register for VPN before you can use it using the online form. Registration requests are processed during working hours.

Accessing Staff Connect We recommend that you use the Chrome web browser by Google when using Staff Connect. If you are using Internet Explorer on a Windows PC older than version 10 it is essential you use Chrome to: Download copies of your pay documents Access some of the manager features If you have a Windows 10 PC, then you can use Internet Explorer or their new Edge browser. Staff Connect will be accessible on desktop and laptop PCs and Macs. It can also be viewed on a tablet. It is envisaged that access via smartphones will come in the near future.

Accessing Staff Connect What if you leave? You will be advised by HR to download copies of your pay documents. You will continue to have access to the system for 60 days after your leaving date.

Accessing Staff Connect Are printed copies of electronic payslips acceptable when applying for residency in the UK? Our Immigration team have established that a printed copy of an on-line payslip will be sufficient for the purposes of applying for residency. However, if any individual needs to provide further proof of earnings HR will be very happy to provide an official letter on University stationery for this purpose.

Getting help on Staff Connect If you want to familiarise yourself on using Staff Connect Try out the guidance or screencasts on the Project Support site, which can be accessed via the Staff Connect system. If you need help when the system launches There will be a drop-in sessions each day of the week when the system launches. If you have a problem accessing Staff Connect The IS Helpdesk will be able to help. If you have a query regarding your HR record, pay or Pension Contact the relevant team. Ask staff if they agree it look very easy to use to reinforce NOTE: if giving this presentation to Estates and Hospitality managers add the Getting Started on Internet session.

Keeping your account secure Always keep your account details private. If you think that someone may know your username and password change your password as soon as you can via any campus PC or by going to https://account.kent.ac.uk/changepassword/ If prompted by your browser to save your password – don’t. When you have accessed your Staff Connect account do not leave the device unattended. Once you have finished using Staff Connect, click the [Sign Out] link in the top right of the screen. Close the browser window and if on a University PC, logout [Ctrl Alt Delete]
