Creating a Business Letter
Business Letter Formats Block Format Modified Block Format Both start with the same margins and layout Only difference is where sender’s address and the closing are located
Setting up a Word Document Begin by adjusting your margins: 2” Top Margin 1” left, right, and bottom
Sender’s Address Include the sender's address at the very top of the letter Include only the street address, city, and zip code Do not write the sender's name or title, because it is included in the letter's closing
Date The date line is used to indicate the date the letter was written Write out the month, day and year Ex: January 17, 2017
Inside Address Recipient's address Always best to write to a specific individual at the firm to which you are writing If you do not have the person's name, do some research by calling the company or speaking with employees from the company Include a personal title Ie: Mr. Mrs. Ms. Dr.
Salutation Use the same name as the inside address, including the personal title If you don't know a reader's gender, use a nonsexist salutation For example, you might write Dear Chris Harmon: if you were unsure of Chris's gender Always use a colon after their last name
Body Single space and left justify each paragraph Leave a blank line between each paragraph In the first paragraph, consider a friendly opening and then a statement of the main point The next paragraph should begin justifying the importance of the main point
Closing Capitalize the first word only (for example: Thank you) leave four lines between the closing and the sender's name for a signature
Enclosures If you have enclosed any documents along with the letter, such as a resume, you indicate this simply by typing Enclosures one line below the closing
Business Letter Activity Locate the Word document, ‘Business Letters Activity’ in the Class Templates folder on the K Drive Choose one situation to write a business letter for Follow all formatting rules, include three paragraphs When done, save to ‘Group Projects’ folder Your Last Name should be included in file name
