Planning, Implementing and Supporting Office 365 Our journey from start to finish

Planning, Implementing and Supporting Office 365 What is our overall Purpose? Goals for implementation and use? How did Gilmer ISD roll this out? What are some Issues and Solutions? How are we doing now? Managing Office 365 Users What is next?

What is our overall Purpose? Provide useful cloud-based tools for teachers and students Low cost to the school district Zero Cost of ownership Easy to train/learn Ease of implementation and maintenance Ready-to-use tools from the company Support when needed Exposure to multiple platforms Google Docs Office 365 Adobe products

Provide useful cloud-based tools for teachers and students Access from multiple platforms Phone, PC, Mac, Tablets Native apps available Swiss Army Knife Easy to use and fast Management Console Student availability Synchronization with Active Directory

Goals for implementation and use? Must be lost cost (when I say “low”, I mean “Zero Cost”) Must work with current systems / architecture – I don’t want to buy hardware Needs to be easy to use – Cut down on training and build confidence early Automated – needs to run as a service or on a schedule Support – if we need help, someone should be available to answer questions

How did Gilmer ISD roll this out? Azure AD Connect https://www.microsoft.com/en-us/download/details.aspx?id=47594 Download and install Organizations can provide users with a common hybrid identity across on-premises or cloud- based services leveraging Windows Server Active Directory and then connecting to Azure Active Directory. Administrators can provide conditional access based on application resource, device and user identity, network location and multifactor authentication. Users can leverage their common identity through accounts in Azure AD to Office 365, Intune, SaaS apps and third-party applications. Developers can build applications that leverage the common identity model, integrating applications into Active Directory on-premises or Azure for cloud-based applications

How did Gilmer ISD roll this out? Azure AD Connect – System Requirements Supported Operating System Windows Server 2008, Windows Server 2008 R2, Windows Server 2012, Windows Server 2012 R2, Windows Server 2016 https://azure.microsoft.com/en-us/documentation/articles/active-directory-aadconnect- prerequisites/. Installation Instructions 1:11.42 – Video on the process – we wont watch it here 

What are some Issues and Solutions? Installation You will need to know your AD information Follow the wizard Set up an office 365 Admin user Provide DOMAIN ADMIN permissions to the AD object Apply correct user in the wizard Synchronization Passwords Some were not uniform – the system complained Some were not present Usernames Some were not in convention with Azure – had to remove some hyphenated names Some were “duplicated” in the upload – Renamed or deleted and re-added

What are some Issues and Solutions? Sync Service Stoppage Not often – but no warning Once because of password issues Sometimes because the server itself was wonkey - reboot Notifications – when something is wrong Email to designated address View the wizard

How are we doing now? A-Ok – we’ve had no major problems in the last 6 months. We sync every 2 hours 365 Training and usage is up 365 ProPlus is available to all Faculty, Staff and Students Additional Products have been added

How are we doing now? Existing Users – need to be given a license New Users – Have to be set up Add user to Ad with profile Add user mailbox to exchange Add user login to SIS Add user license to 365 Mass Assign user (students) Console of users without a license

How are we doing now? Office 365 as a user Easy to use http://portal.gilmerisd.org ios / android apps Local install on up to 5 devices per user

What is next? Microsoft Classroom -- with Microsoft School Data Sync Exchange in the cloud – with archiving Sharepoint in the cloud as well Mail travels though our filter first New Platform for Onenote Classroom https://mix.office.com/watch/25zihj9digv2 Microsoft assigned Deployment Manager and FastTrack Engineer from Microsoft FastTrack Center
