Getting Ready Organize standards Agree on scoring rubrics Create conversion scales for the scoring rubrics for PowerTeacher Gradebook users, and assign them to specific standards — OR — Create grade scales for the scoring rubrics for PowerTeacher Pro users, and assign them to specific standards Assign standards to specific course(s) Import standards into PowerSchool Create reports for parents [Trainer note: In addition to the tasks listed on the slide, you may want to consider each of these questions: • What do you want the final product to look like—a report card, progress report, or other type of report? • How will the scores be calculated? For example, will scores be calculated by an average of a series of assignments in the gradebook? • How do teachers enter final grades at the end of a term? • Are scores entered for one student at a time? Are they entered by subject area? • Will the honor roll ever be determined by standards scores? • How many different grade-level report cards does your school need? • How will you enter standards into PowerSchool? Will you ever produce a mid-term progress report that shows current progress in attaining standards?

From PowerSchool to Print [Trainer note: The list of standards on the left includes some of the standards entered in PowerSchool and are used for the standards-based report card. Shown on the right is an example of what a standards-based report card may look like. The standards are organized by subject. You’ll learn how to organize the standards so that you can present them in a report card format. For the people new to standards, point out the hierarchical structure of the standards, and assure them that this will be discussed in-depth later in the course.] District > Standards > List Standards

First Questions Know the district requirements: How many report cards will you need; will each grade level need a different report card? Will teachers send home report cards? Will teachers use assignments with standards? Will teachers use final grades with standards only? Will teachers use teacher comments? Are teachers using PowerTeacher Gradebook, PowerTeacher Pro, or both? What are the grading policies? What are the standards grades reporting requirements? [Trainer note: Discuss the things participants must know before setting up standards. Remind participants that, in PowerSchool, you categorize all standards, benchmarks, or outcomes as school standards no matter who developed or authored the standard. Define benchmarks for the required grade levels only. Next, organize the standards and agree on scoring rubrics.]

For example, parent (top-level) standards like math are listed first, and lower-level topic standards follow.]

Setting Up Standards Most common methods: Create standards manually, one at a time Create a standard manually and export the information for use as a guide Import standards from a spreadsheet (this is the easiest way to create an extensive set of standards) [Trainer note: Explain that, after setting up grade scales, you can begin entering standards into PowerSchool. You can use any of the methods seen here to set up your standards. The fastest method for entering many standards is to import the standards information. Remember that naming conventions should be logical, expandable to cover multiple specific standards, and easy to understand.]

They will need a course number relevant to that teacher. They must remember the conversion scale name that they created in Activity 1. [Trainer note: mLG widget is a non-guided Try it! for creating a standard manually. If students have extra time, suggest they go through this now.]

Standards in a Spreadsheet [Trainer note: Explain that the spreadsheet for importing standards must contain columns for all of the necessary fields that make up a standard. The easiest way to create the spreadsheet is to export the standards that you have created already. By exporting first, the fields’ names will match exactly, and it will save time when importing the data back into PowerSchool. Also, make sure the spreadsheet is saved as a text (.txt) file.]

Mapping the Fields [Trainer note: Since your spreadsheet contains the PowerSchool field names, PowerSchool maps to those fields. You will not have to choose or find additional fields. If a name in the import templates differs from the fields in PowerSchool, you can choose the correct field from the menus.] Special Functions > Importing & Exporting > Data Import Manager > (Select the import file and PowerSchool table) > Next

Viewing and Reporting Standards Scores

Quick Lookup: Standards Grades [Trainer note: Washington Elementary teachers’ English classes have standard and scores. There is a non-guided Try-it! interaction in the book for learners to practice navigating to and viewing a student’s standard grades. Explain that, once you enter standards grades, they are available immediately in PowerSchool using the student page Quick Lookup. After you search for and select a student, open the Quick Lookup page and click the Standards Grades tab. The same information seen in the PowerSchool Parent Portal is shown for the current term (student login: westudent6; student).] (Select a student) > Quick Lookup > Standards Grades

ReportWorks: Standards Report Card [Trainer note: Currently there is a new choice added to System > ReportWorks Administration > Grades Data Set. Check the option to enable and/or refresh for the reporting data to be correct. In ReportWorks, select Standards Report Card from the list of template reports. After setting up the parameters for running the report for the school, grades, and reporting terms you desire, publish the report. Once published, run the report from PowerSchool’s ReportWorks report option.]

Object Reports [Trainer note: explain that you can use object reports to access historical scores and place them on the report card. Possibilities with object reports include setting up the scores to list for each child individually, and using the list feature to list the students and scores. You can make a report like this available to teachers to run from PowerTeacher so that they can see their entire class at once, with the historical scores for a particular standard.]
