Introduction to Word XP Friday, October 13, 2017

Personalized Menus All Office programs use Personalized Menus. The menus will change based on your usage. Menus will first show only those items you use regularly. Arrows at bottom let you know you have more options available. Click on arrows, or just wait a second or two, and the entire menu will appear.

Task Panes All Office XP applications use Task Panes to make it easy to find commonly used features. Look for the task pane on the right side of the screen. Don’t see the Task Pane? Select View menu  Task Pane to show. There are eight (8) Task Panes. Select them by clicking the arrowhead.

Entering Text Task: Type in the Voice Mail greeting you will record later today! Here is a sample:

Inserting Text Click in front of the first line and type the following Voice Mail Greeting Then press the Enter key twice to leave two lines in between.

Save Your File Select File menu  Save… Click here to create a new folder if needed! Select File menu  Save… Save dialog box will open, with My Documents selected as the destination Select other destinations from this list, Click the Save button when done. In this example, the file would be saved in the root level of My Documents. OR click the arrowhead to select from the pull-down menu. Type in the file name here. You can type in the .doc, or let Word do it for you (suggested). You can save your files in different formats by clicking the arrowhead and choosing from the pull down list.

Formatting Characters In all Office applications, text is formatted by character, by paragraph, and by section Select the words Voice Mail Greeting in your document You can quickly select WORDS by double-clicking! You can quickly select PARAGRAPHS by triple-clicking!

Change Text Color Double Click the word VOICE Select a color from from the Font Color palette

Format Paragraph Click anywhere in the first line, Voice Mail Greeting Click the Align Center button on the Format toolbar

Paragraph Border Click anywhere in the Voice Mail Greeting title Click on the arrowhead on the Border tool on the Format toolbar Select Outside Border from the dropdown menu

Click and Type Ever want to move halfway down the page and start typing? With Word XP, you can use Click and Type to do this! Move your cursor an inch or so below the greeting paragraph. Double-click to begin typing. Type and align text on the left Type and center text Type and align text on the right

Lists Click and Type about an inch below the greeting paragraph Type in the three steps to setup a conference call (use your phone handout if necessary) Press Enter after each step

Lists Select some text in each of the three lines (you don’t have to have to select every word) Click the Bullets icon in the Format toolbar Your list is now bulleted for you! Now try clicking the Numbering icon

Working with the Ruler Hanging Indent (all but the first line of a paragraph First Line Indent Left Indent Right Indent Tab Alignment Left Right Center Decimal Bar Ruler settings are PARAGRAPH formatting. It will only change the paragraph the cursor is in, or the paragraphs you have selected.

First Line Indents Click anywhere in the greeting paragraph. Slide the First Line Indent over to the half inch mark Note that the first line only is indented!

Hanging Indents Hanging indents allow you to indent every line of a paragraph EXCEPT the first line. Click anywhere in the greeting paragraph. Slide the Hanging Indent button to the half inch mark. Note all lines but the first are indented!

Setting Left & Right Indents You can also indent a whole paragraph, such as a quotation. Click the Left Indent marker and slide it to the one inch mark. Now click the Right Indent marker and slide it 1 inch to the left. Your paragraph is now indented on both sides!

Inserting Graphics Insert either clip art or pictures Select Insert menu  Picture, then Clipart or From File Clipart is from the built-in clipart From File… allows you insert a photo, scanned images, clipart you created, etc. You can also copy and paste an image to insert it.

In-Line vs. Floating Images Word inserts your image IN-LINE by default. Treats the image just like text Inserts it wherever the insertion point is blinking This slide contains an animated gif that demonstrates how to insert clipart into Word. The main point to emphasize is that by DEFAULT it comes in inline with the text…

Insert a Graphic Select Insert  Picture  From ClipArt Type in the word Phone in the Search Text field, then click Search Click the picture you want to insert. It will be inserted at the place your cursor was blinking!

Moving Graphics on the Page Select the graphic (8 square handles and a border appear around the graphic) The Picture toolbar should appear. If not, select View  Toolbars  Picture Click on the Text Wrapping tool for the popup menu.

Text Wrapping Options Default – moves around just like text, limited ability to move text, and it can leave LARGE gaps in the text Advantage: You can insert text before the graphic and it will maintain its position All these options FLOAT text on the page Wraps text around the graphic. Use Tight to make the text conform to the shape. Graphic appears under the text. Graphic floats in front of the text. Graphic will create a break between the text.

Change Text Wrapping Select the picture of your phone. Choose the Square option from the Text Wrapping tool. Drag the graphic around and see what effect the change makes. Try several other Text Wrapping options.

Insert From File… Treat the photo just as you would ANY graphic: Set text wrapping Resize if necessary Move to the proper place on the page Add border, drop shadows, etc. if desired!

Resize a Graphic Click the graphic to select it. Choose any of the eight handles. Drag the graphic out or shrink it down smaller. Click on the green handle at top to rotate a graphic. Green Rotate Handle
