Supplemental Data Capture Pages What, Why, How, Where, and When

On the Agenda: What are Supplemental Data Capture Pages? Why would I use one? How do I create it? Where does it go? When does the user see it?

What are Supplemental Data Capture Pages? Collect additional name and registration data.   Data specific to a single course or a group of courses. Additional data not collected on the Sign Up page.

Why would I use one? Sign Up page has data you want to collect for all clients interested in your programs. It can include additional fields for users to complete. However, you would not require data here you don’t need for everyone (e.g. birth date and gender fields.

Why would I use one? You want to enter data in registration fields. You need to require name data for a specific course only. E.g. birth date and gender are required for one of your courses, but not for other courses you offer.

How do I create it? HTML templates you create with the additional fields you want to collect on the template. You will need HTML experience to create templates. The online Help topic has template creation details.

Where does it go? Your template must be placed in the ACEweb Custom folder (i.e. wconnect\ace\custom). You will need access to the folder to add templates to it, and edit existing templates. Contact your IT staff to gain access to the folder. (we recommend a designated staff member has access to the wconnect folder for editing of ACEweb templates, scripts, style sheets and images)

When does the user see it? Two options for displaying fields to the user: ECDC INI setting is ON, fields are shown on the Enrollment Cart page:

When does the user see it? If ECDC INI setting is OFF, fields are shown on a separate page that comes up after the user clicks a button (Save to Cart..., Enroll Someone Else..., Proceed to Checkout).

Examples Previously entered Name data is displayed. Levels will be saved as Interest Codes—just remember codes must exist in your Codes list.

Examples Medical Restrictions/Food Allergies: option to append entries to the Comments field on name record.

Customization If you need custom options: Submit a request to your ACEware technician. They will work with you on your specific needs. If necessary they will obtain a quote for the custom work.

Reporting Data You can add the additional data you are collecting to a custom roster report. You can include additional data you are collecting in ACEweb confirmation emails/staff transaction notices. You can create a custom roster with the additional data you are collecting in ACEweb Instructor Rosters.
