Project Management PTM721S Faculty of Computing and Informatics 10 July 2017 Project Management PTM721S Lesson 1 – An introduction to project management

Introduction to project management Faculty of Computing and Informatics Introduction to project management What is a project? What is project management? Advantages of project management What is good project management? The 9 areas of the project management framework Project management tools Tutorial exercise

What is a project? Faculty of Computing and Informatics Temporary endeavor undertaken to create a unique product or service A project has the following attributes It has a well-defined objective A project requires resources, e.g. people, hardware, software A project has a primary customer or sponsor A program “is a group of projects managed in a coordinated way to obtain benefits not available for managing them individually” – PROGRAM MANAGER A project involves uncertainty – it is difficult to clearly define a project’s objectives, estimate how long it will take to complete or how much it will cost

What is project management? Faculty of Computing and Informatics What is project management? Project management is the application of knowledge, skills, tools and techniques to project activities in order to meet project requirements Meeting specific scope, time, cost and quality goals of a project Facilitating the entire process to meet the needs and expectations of people involved/affected by project activities Project Management Office (PMO) coordinates the project management activities in an organisation Project Management Professional (PMP) certification

Advantages of project management Faculty of Computing and Informatics Advantages of project management Better control of financial, physical and human resources Improved customer relations Shorter development times Higher quality and increased reliability Higher profit margins Improved productivity Better internal coordination Higher worker morale

What is good project management? Faculty of Computing and Informatics What is good project management? Working with sponsors, project team and others involved to meet project goals Meeting more than the triple constraints Triple constraints management – scope, time, cost and balance Scope – what is the project trying to accomplish Time – how long – project schedule Cost and balance – what does it cost to complete, e.g. increase budget to meet scope and time Quality management – “quadruple constraint”

The 9 areas of the project management framework Faculty of Computing and Informatics The 9 areas of the project management framework Scope management – defining and management all work required to complete project successfully Time management – estimating how long it will take to complete work Cost management – preparing and managing budget Human resource management – effective use of people involved in the project Communications management – generating, collecting, disseminating and storing project information Risk management – identifying, analysing and responding to risks Procurement management – acquiring goods and services for the project from outside Project integration management – affected by all other areas

Project management tools Faculty of Computing and Informatics Project management tools Integration management – stakeholder analysis, project management software, project review meetings Scope management – return on investment (ROI), business cases, requirements analysis Time management – Gantt charts, critical path analysis, network diagrams Cost management – financial software, cost management plan Quality management – Six Sigma, Statistical methods Human resource management – motivation techniques, team building Communications management – conflict management, meetings Procurement management – contracts, negotiations, eProcurement Risk management – risk management plan

Tutorial exercise Faculty of Computing and Informatics Find someone who works as a project manager or is a member of a project team. Prepare several interview questions on what is involved in their work and the project/s they are working on and then ask that person your questions either in person or via the phone. Write a two page summary of your findings which you will present during the tutorial session
