LISTINGS Some members have their listings come in automatically thru our nightly import from their board. If this is the case, then to access your Listings, just click on Property Center and your listings should all be there. If you need to add a Listing, then first, you need to add a Client. Start on the Home Screen Click Client Center From the green menu, click ADD CLIENT Fill in the fields – you can save your Client with as little as First Name, Last Name. If you want to give your client access to our Client Access Site (more later), then ensure you have an email address entered, and tick beside Email upon significant updates When you’re done, click Save Now you can add your listing – click ADD LISTING Enter the MLS number and click RetrIeve from MLS Nuance will populate the fields from data pulled from your Real Estate Board If there’s no MLS number, you have to manually enter all fields – make sure you only put one PID number (9 digits), and only numbers in the Listing Price field Click ADD Now you can Add Documents - see pages 5 and 6 Page 3

PURCHASES (your buyer) When you’re working with a Buyer, you will follow these steps. If another REALTOR sells your listing, then please see the next page. If you are working with an existing Client, please don’t add a new client – go to the Client Center, select your client, and click ADD PURCHASE. If this is a brand new client, you must add them first. Start on the Home Screen Click Client Center From the green menu, click ADD CLIENT Fill in the fields – you can save your Client with as little as First Name, Last Name. If you want to give your client access to our Client Access Site (more later), then ensure you have an email address entered, and tick beside Email upon significant updates When you’re done, click Save. PURCHASES (your Seller) First, you need to see if your Listing is already in your Property list. Click on Property Center, and see if the address is listed. If not, please add your Listing – see page 2. If your listing is in the list, here’s the steps to add a dealsheet. From the Property Center, click on the address of the property It will open to Documents – you can add these now, or add them later – for steps to add documents, please see pages 6 and 7. Click on DEALSHEETS in the green menu Click That’s all there is to it – now you just complete your dealsheet. See page 6 for help. Page 5

DOUBLE ENDERS When you double end your listing, you need to add the purchaser as a client. If you have no agency with the purchaser, you can just add a dealsheet to your listing as you would normally. Go to Client Center From the green menu, click ADD CLIENT Add client info When you’re done, click Save. Now you can add their Purchase - click ADD PURCHASE Enter the MLS number and click RetrIeve from MLS Click ADD once the fields have been populated Nuance will recognize that it’s your listing and will copy the dealsheet to the listing side Now you can Add Documents - see page 5 Please Note: If you are giving your clients access thru our Client portal, please ensure you keep your documents separate. IE: file Purchasers FINTRAC with the purchase, Seller’s with the listing, etc. Page 6

ADDING DOCUMENTS (from your harddrive) It’s best to have your documents separated, ie: Contract of Purchase and Sale, FINTRAC, WWR, etc. all saved individually. If you are scanning them in packages, please ensure you keep any documents not required by the lawyer separate. Documents only need to be scanned at 72 dpi, or a low resolution. This will help with emailing your documents to your office, client, etc. Go to Property Center Find your Listing or Purchase in your property list and click on the address Your property will open to the Documents page – click Select the Category and Type Browse your harddrive for the document you want to file If desired, add a Description (optional) Answer Yes or No to if you want the document in your DEALkit (documents required by your office) Click Save Follow these steps for all documents If you are having trouble filing documents this way, please see the next page for filing from your REALTYnuance Inbox Page 7

ADDING DOCUMENTS (from your REALTYnuance Inbox) Email your documents straight from your office / home scanner direct to your REALTYnuance email address (usually firstnamelastname@realtynuance.com). If you need to confirm this, you can email us at support@realtynuance.com, or click on Inbox, then (beside drop down arrow to right of the screen) and the top line will say Configuration of… and your email address will be displayed next. Once you’ve emailed your documents to your RN email address, click on the Inbox and second icon to get new mail When you see your email in the list, click on the Subject Line to open the email (DO NOT CLICK ON ATTACHMENT ICON) To the right of your attachment, click on to open file menu Select Client, Property, Category, Type and Yes or No to DEALkit. If you can’t find the Client or Property, try selecting All below the field. Click - you’ll get a pop up that asks “Are you Sure you want to file this document”, click Yes, and you’re done. To double check that your document filed, click on Docs Link once your document files. This will take you to the documents for that particular property. Follow these steps for all documents you need to file Page 8

CREATING (OR OPENING) A DEALSHEET YOUR LISTING: From the Property Center, click on the address of the property Click on DEALSHEETS in the green menu Click YOUR PURCHASE: (follow steps on page 3 to add a Purchase if you haven`t already) Click on DEALSHEETS If you entered the purchase via Retrieve from MLS, click on either the Buyers Name or Seller`s name to open the dealsheet that has been started If you entered the purchase manually, click to start a new dealsheet Page 9

COMPLETING A DEALSHEET Contract Date – mandatory field – click on the calendar icon or use the drop downs Tranqulity – mandatory for Re/Max agents Business Source – mandatory for some companies Listing Agent: If this is your listing, your name and contact number should be displayed here If this is your purchase, and you used the Retrieve from MLS field, RN should have populated this field. If there’s no info in this field, you can either use the Search field to find the Listing Agent dynamically, or type their last name over Type Surname Here and select from the RN database. If using Search, enter first name, last name and once the name is displayed, click on it to populate the dealsheet Selling Agent: If this is your purchase, your name and contact number should be displayed here If this is your listing, then you can either use the Search field to find the Selling Agent dynamically, or type their last name over Type Surname Here and select from the RN database. If using Search, enter first name, last name and once the name is displayed, click on it to populate the dealsheet Seller: If this is your Listing, your Seller’s information will be pulled from their profile If this is your Purchase (entered via Retrieve from MLS), the Seller’s name should be pulled from the Board if available, otherwise, just enter as much information as you have. COMPLETING A DEALSHEET, page 2 Buyer: If this is your Listing, manually enter the Buyer’s name(s) If this is your Purchase the Buyer’s name will have pulled from their profile. FINTRAC Identity Check – these fields are NOT mandatory Enter all fields, and click on You can add another entry by following the same steps. FINTRAC Business Relationship – MANDATORY for all agents FINTRAC Suspicious Transaction Report – MANDATORY for Selling Agents Selling Price – enter just numbers, no commas or $ signs. You can enter cents if necessary Deposit – same format as above Additional Deposit – same format Final Subject Removal Date – this is the date of the LAST subject. If no subjects, please use Contract Date here Completion, Possession and Adjustment Dates – please use the drop down menus, or the calendar icon to enter. Please ensure you have the correct year. Properties in Firm Status will move to Inactive automatically 14 days after the Possession Date. Page 11

COMPLETING A DEALSHEET, page 3 Subject To: Hold down CTRL and select ALL subject clauses that have the same date Enter date subjects are to be removed Click If needed, add additional subjects that have different dates To Change Subject Dates: Delete subjects by clicking in box to right of subjects and hitting then re- add the subjects. Seller and Buyer’s Law Firm: Start typing the Law Firm name in the <Type Surname Here> field and select the lawyer from the drop down list. ** changing soon ** Currently you can add a lawyer or notary if not found in the drop down list. To do this click Add Lawyer or Add Notary and completing the form and hitting Add. Commission Breakdown – your Listing (you need to fill in Gross Commission): Percentage: In the Gross Listing Commission percentage field’s enter the full commission from your Listing Contract: ie: if 7/2.5, 46/54, then you would enter 7 in the % of 1st 100K, and 2.5 in the % of Balance, no % characters please. Enter the Net Selling Commission (ie: 3.22 in the % of 1st $100K, 1.15 in % of balance) Net Listing Commission should fill in automatically based on the above two amounts Your Listing Commission should flow to breakdown section and be displayed to the right of your name Page 12

COMPLETING A DEALSHEET, page 4 Commission Breakdown – Your Listing (con’t) e. Flat Fee: Enter the Net Selling & Net Listing Commission to the fields to the far right – ignore the percentage fields completely. Gross Listing Commission should calculate based on these two fields f. Your Listing Commission should flow to breakdown section and be displayed to the right of your name Commission Breakdown – your Purchase (you only need to enter Net Selling Commission) Percentage: if property was entered via Retrieve from MLS, the commission percentage fields should be auto-populated (in most cases) If the commission did not auto-populate, then enter the Net Selling Commission (ie: 3.22 in the % of 1st $100K, 1.15 in % of balance) in the percentage fields. Flat Fee: Enter the Net Selling Commission to the field to the far right – ignore the percentage fields completely. Commission Breakdown – Agent Commission section: Your commission should have auto-populated beside your name. If your name does not display, then click Agent for Referral (your office), and type your last name, select yourself from the drop down, tab to % or Amount and enter 100 , tab to Side, ensure it`s the correct side, then click Add Referral: Use Search Agent for Referral, or type last name of agent in field, select agent, add percentage (no symbol), select Side, then click Add. Select Status and click Save – Save Draft status will NOT go to your Office Admin, so use this if you have further changes. Page 13

EDITING A DEALSHEET (Adding a lawyer, removing Subjects, etc.) To access an existing dealsheet, go to Property Center and click on the address of the property Click to Dealsheets from the green menu Click on Seller’s Name, Buyer’s Name or the Completion Date to open the dealsheet To edit Agent Information: click on Edit Agent Info, located below Selling Agent fields Use Search to add new agent, or change existing, or start typing Agent’s Last Name in field Go to bottom and click SAVE To edit Lawyer Information: click Edit Lawyer Info, located below Seller’s Lawyer field Start typing Law Firm name in the field. If lawyer is NOT in the database, click Add Lawyer / Add Notary to add them to the Nuance database. ONLY do this if you can’t first find by typing their name in the provided field To remove Subjects and change dealsheet status: Click Yes beside each subject Scroll to bottom of page and change Status to Firm and click SAVE Collapsed deals: Change status to Collapsed and click SAVE If it’s a Purchase, also, go to Purchase Details from green menu and change Status to Collapsed and Display Status to Inactive Page 14

SENDING A DEALkit (via dealsheet) After you click Save your dealsheet, you should get the following message: Click OK to send your filed documents to your office administrator You should then get the following screen that will be auto-populated with your admin’s email address and the address of your property: Ensure all documents are there, and ticked, add a message if you’d like. Click Next An email dialogue box will open. Click Send to send your DEALkit Your documents will now be labelled as being Sent in the document section of your property. Page 15

SENDING A DEALkit (via Document Center) There is another way of having the Sent flag raised for your documents. To get to your documents, first click on Property, or Property Center from Home Page Click on the address of the property you’re working on. It will open to your Documents that are filed to the property To send your documents to Admin (and have them flagged as Sent), follow these steps: Tick the documents you want to send Click Email / Fax at bottom of page An email dialogue box will open, click Search to the right of the To field Select your Admin from the list Click Send (2nd icon or at bottom) Page 16

CO-OPERATING REALTORS You can share your documents with co-operating REALTORS: When entering your Listing or Purchase, click on Search from the Details page (from beside Co-op Agent field) and type in First Name / Last Name (Co-op Access is ONLY available for FVREB, REBGV, Chilliwack, VREB and BC Northern) Click on the agent’s name from the results list Save your details at bottom of page The Co-op REALTOR will receive login instructions to a separate website (crc.realtynuance.com), with a confirmation to you that doesn’t include their login. When filing your documents, click if you want to share them with the Co-op REALTOR The Co-op REALTOR is able to view any documents that you share with them from our Co-op Member site (similar to Client access). CLIENT ACCESS You can give your clients access to our Client Portal, where they can view their Showings and Documents related to each of their properties. Here’s how: When you enter your Client, add their email address They will receive an email with their login ID and password and URL The URL is http://pcc.realtynuance.com – shown They have access to showings and documents They can also change their login password When you enter a listing, they will receive a new listing email They will also receive emails advising of closing dates Page 18

SHOWINGS LOG RN has a Showings Log that you can use to track your showings and share with your clients: Open Showings Log Select the property you are adding the showing to Click Enter Date and Time Use Search or type the last name in the surname field to select the showing agent You can select Manual entry if the agent is not in the system Send Emails: Send Automatically: An email will go out asking for feedback 8 hours after the showing. Manual Send Email: tick Manual and click Send Email to send an email to the showing agent manually When the showing feedback comes in, just copy and paste to Showing Feedback field. If you have given your client access, they will see the feedback on the client site, but not the agent’s name giving the feedback. From your list of showings, you can select multiple showings to send an email to all, to advise of a price change, impending office, etc. Page 19

RN TIPS AND TRICKS How you can keep everything together, in one location: Screen grabs of texts emailed to RN Print emails to PDF & file Make your Board email your RN address Link your Touchbase & Supra to RN email Use RN as your outgoing email Easily change your password when going on vacation, and give access to your covering agent Emailing Clients: A quick way to email clients from RN is to double click on their contact info on the top right of the property file.  Please remember you must have an email address in the client profile first. To add an email address, go to Clients, click on the client's name, select Email from a drop down list (if you don't see it there already), enter the email address and hit Save. Adding a New Listing with Old MLS number: You can populate your new listing using the old MLS number to save you some input.  Just add the old number in the MLS field, retrieve from MLS, and ensure you change the expiry date.  You can also do this in WebForms. RN TIPS AND TRICKS (Con’t – page 2) PDF printing & manipulation or can use freeware to easily print to PDF.  If you need to separate documents for filing, or if you want to file email documentation to a client or property, try CutePDF (free PDF writer). e.g. print pages 1-5 and save to pdf as PCDS, page 6- 7 print to PDF and save as WWAR Dealsheet Report A report of EVERY field from your dealsheets Go to Reports, select All Clients, then Dealsheet Transaction Report Enter a date range and click Search Once the report populates, click Download Spreadsheet and Save to use & manipulate in Excel Filing from Inbox Save time filing from the Inbox select the property first from the dropdown, the client will automatically populate Editing Client Docs At this time, client docs must be edited in the Client profile Go to Client Center, select Client, click to Client Docs, tick beside the document you want to edit, then click Edit from green menu   Page 21
