REPORT WHAT? JTB Jim and Gretchen introductions Ask Audience about their experience with Reports Learning objectives: Identify useful data, how to add customized fields, and how to create reports that bring it together. At the end of the session, participants will come away with ideas for how to use the power of data to help promote events, leverage resources, and share results.

Rochester Institute of Technology RIT has 9 Colleges. Enrollment : 15,400 Undergrad and 3,205 Graduate Career Focused - 230 Academic Programs - 218 with co-op (4,300 students co-op annually) Career Services Office – centralized, 30 staff GEB Centralized office, lots of staff, lots of traditional events and some “boutique” events. RIT is a career-focused university. Known for tech but there is also a strong creative side. Some efforts focused on our colleges of liberal arts, business or imaging arts and sciences are very much like a smaller university.

There are 3 Types of Reports Scheduled Reports (just part of the job) Ad Hoc Reports (oh no…) Proactive (you got this!) GEB We are going to focus on being more proactive or planned

KEY to Success PLAN > Where, Who, What IMPLEMENT > What, How REPORT > How, What, When RESULTS > Who, When, What JTB

PLAN What you want to report Understand the essential information JTB We all may be asked to run reports Some with Tight Deadlines, Ad Hoc, Scheduled Annual Reports You will be more successful and less stressed if you can plan

PLAN Who gets data Internally (yourself, colleagues, Director, VP of Division) Externally (colleges, deans, faculty, Alumni Relations, students) GEB

PLAN How will you gather data From existing fields Create new fields Do you need multiple reports? GEB

PLAN Where to add fields Form Builder: Manager Interface - Contact Main (Personal) Profile Account Add fields JTB Account Managers, Industry picks, are not specific enough as far as contact in certain fields so we created a new field “Major(s) Interest”

EXAMPLE Creative Industry Day “Career Fair-Hybrid” Event Target Invitations to Industry Contacts Promote to students (and faculty) Report out Results GEB Hybrid event, bring creative industry professionals to campus to review portfolios, scout talent, network. Signature event for students not recruited in traditional ways. Challenge was to get buy-in, awareness

HOW TO Creating a Report Reporting > Select Base Class: Contact > Select Field(s) for report JTB Planning report/input

JTB HOW TO Creating a Report

IMPLEMENT Changes to Contacts Additions to Contact record in system Contact type (new picklist items): ex. Portfolio Reviewer, Creative Industry Day Invite New field: ex. Majors of Interest Flags (for real-time searches): ex. Participated 2016 GEB In order to Market to Employers -- Looked at existing contacts and how we could target best creative industry contacts to invite. Industry field, job posting history, weren’t specific enough. Contact type added : Creative Industry Day Invite, Portfolio Reviewer Flags added: Participated 20xx, Invited 20xx (Go to PDF example)

IMPLEMENT Changes to Registration New required field: Actively scouting talent Added picklist: Areas of Expertise/Interest (functional areas) Used Job Posting form - short JTB Made changes to event registration form Functional areas were used for us to see if we had inclusivity Helped promote to students – what companies should they connect with

Promote Event Data from reports used to list Companies & Locations Majors/Areas of expertise, interest Who is scouting talent/hiring? GEB Web Site, Social Media, Multiple emails You can refute: There isn’t anyone there for me to talk to No companies have jobs

Using data to promote event’s success

REPORT Event Summary Report – yearly comparisons Student Attendance, by major, year level Participating Companies, total reps, alumni reps GEB -PowerPoint presentation for students and faculty -Paper report -- Create a document report on – year to year attendance, by major, college, year level. Panel attendance, Portfolio Reviews/Career Fair attendance. -List of companies, number of reps, number of alumni reps
