Sample Registration - Introduction Core LIMS Training: Sample Registration - Introduction (Non Chemical Structure) Note: See Compound Registration slides if you have sample types with chemical structures

Course Topics Sample Registration Understanding Samples Understanding Lots Understanding Containers What is Sample Registration CONFIDENTIAL

Chapter Overview This is a generic Training module and will focus on common ways to register Non-Chemical Samples The examples in this chapter will demonstrate registering Samples of type Enzyme, however any sample type can apply: Proteins Clinical Samples Ingredients Cell Lines Antibodies Plasmids More than one type of Sample can be registered CONFIDENTIAL

Samples, Lots and Containers Sample: Parent level concept of entities that can be registered, tracked, and utilized in experiments; This is the “blueprint” for the house Lot: A distinct child of a sample that can be associated to containers and used in experiments; This is each physical construction of the house from the same blueprint Container: Object that can store sample_lots and contains one or multiple container cells; This is the land plot that holds the house Samples, lots, and containers are all equivalent super types There are separate records for each of them, but related records can be easily found through hyperlinks There can be one or more lots for a given sample A given lot can be stored in one or more containers CONFIDENTIAL

Example Attributes & Associations Sample Lot Container Scientific name, genus, or species Date scientist made or collected the lot Amount/Units Patient information (name, gender, race, age) Date purchased or received from vendor Concentration/Units Scientific registry numbers (e.g. CAS) Vendor catalog number Number of wells Chemical structure or formula Scientist who made lot Tare Calculated properties Supporting characterization data Amino acid or nucleic acid sequence CONFIDENTIAL

What is Sample Registration? Method of entering information related to samples and lots into the corporate database Creates a unique corporate ID A validation check can be configured to be automatically performed to be sure the sample is unique and has not been previously registered Not a method to enter information from experiments Experiment data is entered through a separate process and will be linked through sample identifiers CONFIDENTIAL

Sample Registration Continued… Depending on Corporate rules, registered samples may exist physically or virtually There are multiple ways to register a sample Entering data for a single sample from the web interface Batch file upload Via triggers on transformative experiments CONFIDENTIAL

What Happens During Registration? A Sample record and Lot record are created A container record may be created too A specific attribute may be searched to validate uniqueness and prevent duplications Sample identifiers are automatically generated Barcodes are generated for tracking in the Inventory Management System Actions can be configured to be triggered upon a registration event Automated email alerts sent to colleagues responsible for downstream processes Samples automatically added to appropriate assay queues based on project rules CONFIDENTIAL
