REAL ESTATE PROFESSIONALS APP FILES – HOW TO GUIDE REAL ESTATE PROFESSIONALS

Click, “New App File”

Create the file name: (House #, Street Name, or Vacant Lot & Blk #, City, Zip Code)

Choosing your file type: Pre Listing (when sending to Admin Staff to enter, they will then change to Active) Pre Buyer (when sending to admin for a new pending contract) Fill in all necessary information pertaining to your file – Once Finished Click, “Create App File”

Uploading Paperwork Click, “Upload Files”, Click, “Browse”, Select the documents, Click, “Begin Upload”

ADD A FORM You can add required forms directly into your appfile and edit them there as well simply by selecting the link “ADD A FORM” while inside your appfile…see below

REQUIREMENTS Depending on what type of new Appfile you are creating your file will have different requirements here are the requirements for each type of file…

LISTING REQUIREMENTS Listing Requirements The following items are requirements for your file in order for the administrative staff to process your listing. Completed Tracker ( must have at least one contact method for seller) a. Full listing address, MLS#, Listing price, etc… b. Sellers agent’s name c. Seller type and source   Active MLS ( or completed MLS profile sheet if you wish for admin to enter your listing on MLS) Completed Ad copy & Showing Instructions page a. Sign order? b. Ad copy/description (this will feed to other sites and be the visible description of the property) c. How is the property being shown? (Vacant, Occupied (contact #), Lockbox, Supra etc..) Listing Contract signed (by listing associate/broker) with copy returned to customer section completed Photos minimum 12 for residential and 4 for vacant land Warranty or Waiver *Don’t forget when all of these are completed to either send documents to Listing@c21sunbelt.com or create a TASK in appfiles and assign it to “LISTINGS” Thank you

PENDING REQUIREMENTS Pending Requirements Executed Contract with all signatures in place ( agent, seller, broker) correct sale price and the title company’s name(if there is one)   Completed Tracker (both buyers and sellers side completed) a. Correct commission amount b. Selling and listing agents commission splits c. Sale price d. Tile company e. Any referral information f. Contract & Closing date MLS with status of Sold or Pending Escrow Reciept ( letter head sheet from the title company) or explanation if no escrow) HOA/Condo Reciept ( signed by buyer) Lead Based Paint Disclosure if home was built before or in 1979 Chinese Drywall Disclosure *Don’t forget when all required information is complete please either email documents to Pending@c21sunbelt.com or create a TASK in appfiles and assign it to “PENDINGS, CHANGES, CLOSINGS”

CHANGES Changes Requirements Status Change Form signed by seller and agent   MLS reflecting the new changes ( i.e. new price, or extended dates) Don’t forget to create a task in appfiles for your change and assign it to “PENDINGS, CHANGES,CLOSINGS” Thank you Thank you for your cooperation with the above requirements. This list will ensure our administrative staff receives your task and documents and is able to process in a timely manner for you .

Labeling & Splitting Documents Single Click documents on Left side of screen; once it is opened, click, “edit pages”; check the boxes of the pages you want to split, click “split pages”

Drop down the App File Section and click whichever section your file pertains to; Name your document, click “split document”

DO NOT CHECK THE LAST BOX WHEN SPLITTING, YOU MUST FOLLOW THESE STEPS……

Drop down the combine document with, choose which document you wish to add it to… STEP

Once you have selected which file to add it to, you will then select whether you would like for it to go to the beginning or end of the document, SELECT COMBINE DOCUMENTS STEP

When finished, the File Contents side of page should look like this!

Tasking a File: Click, “Task”

Click, “New Task”

Type the Priority, Task (New listing, Pending, Price Change…), assign to… Click, “Create Task”

This page shows your “task”, be sure to “X” out, DO NOT COMPLETE THE TASK!

Top Right corner of your App File, you will see your number of tasks, check to make sure they are not for you, if they are for the admin staff, they will complete the task for you and your number of tasks should reflect “0” should you also have no tasks to complete!

Congratulations! You have now created an App File!

A Lesson on Forms … To access blank /printable versions of all the forms we have mentioned today… follow the following steps in Appfiles …

PRINTING BLANK FORMS In the appfiles home screen see in the colum on the far left the link that says “Print Blank Forms” click on this link to open a box which will allow you to select the form that you would like to print , by name.

Select Your Form & Print You can use these blank forms at any time … YOUR DONE!
