Session Goals Learn how to effectively plan a meeting Learn steps for planning larger events on campus Begin to plan an event for Spring Semester for your organization

Effectively Planning a Meeting Create an agenda (and follow it!) Designate times for ‘New Business’ and member concerns Be respectful of your peers’ time

Call to Order Introduction of guests or new members Old business Review of items with unfinished discussion from previous meeting Updates on completed tasks Discussion of events that pertain to the organization (Student Organization Fair interest, success of an open house, etc.) Updates from executive members/committees New Business Upcoming items, tasks, or events that need discussed Ideas for upcoming meetings/events Recognition of members Questions or Concerns from general body Reminder of next meeting or event Sample Meeting Agenda Use this as a suggestion – your organization will have unique needs!

Planning Events on Campus General Steps Decide the type of event to be held Decide the type and/or amount of space you need for your estimated/desired attendance Find a date and time that the room or space you want is open, then reserve it See Pam Chamberlain in HMSU 222 if you want to request space inside HMSU When your reservation is confirmed, make an event on Treehouse! Determine your food needs (if any) and make an order – if using Sodexo (required inside HMSU) visit them on the 2nd floor Advertise for your event!

Reservations You can browse for spaces in HMSU through Treehouse, but you cannot request space online Go to HMSU 222 Classroom requests must be done online

Catering with Sodexo Shoestring Menu – discounted food for student organizations Offered to student organizations at a reduced price Must place order at least one week prior to event Check out Sodexo’s catering menu to pick your menu Make sure that you know your account name

Contracts If you’re going to bring an outside vendor, come talk to us about the contracts you will need to fill out!
