(Free) Reporting Tool Choices in GP Business Analyzer? SSRS? SmartLists? Excel Reports belongs in your bag of tricks!
WHO are Typical Consumers WHY Excel Reports are AWESOME ! WHAT is an Excel Report WHO are Typical Consumers WHY Excel Reports are AWESOME ! Excel Reports are a set of preconfigured Excel files that have a connection to your GP data, so they can be refreshed any time. Typical consumers are anyone outside your normal ERP users – Executives / C-level, Business Analysts, Department/Division Managers, Salespeople, etc. Excel is the tool of choice for many of us, and something we use on a daily basis. Excel Reports also enable non-ERP users to answer their own questions about their vendors, customers and other aspects of their business without asking someone in accounting or finance to get them the info – Self Service BI! Became available in GP 2010. Today I’m using GP 2016 R2.
Dashboards & Much More ANY data in GP and other sources… Agings, Vendor Spend, Projects, Inventory, you name it… Real-time, Refreshable, Customizable Tweet about this: @GPUG, #GPUGDetroit, #GPUGExcelRpts, @jpfershy
Measure Twice, Cut it Once Plan your deployment (with paper and pencil) ! SharePoint (online or on-prem) or Network Share Who needs access? Sales, Purchasing, Ops, C-Level? Two Levels of Security – AD and SQL For Network Shares: Active Directory Determine where the folder share will be located – it must be able to connect to the SQL server! The person must have an AD account in your organization’s domain Their account must have at least ‘Change’ rights to the shared folder you want them to access For information on deploying to SharePoint please refer to the GP documentation.
Two Levels of Security – AD and SQL For Network Shares: SQL Access The person’s AD account must be added as a SQL login AND be assigned to the appropriate database and ‘rpt_’ role ‘rpt_’ roles grant read access to different areas of information Tweet about this: @GPUG, #GPUGDetroit, #GPUGExcelRpts, @jpfershy
‘rpt’ roles in each GP database
Some of the rights in a ‘rpt’ role
Reporting Tools Setup To deploy Excel Reports In GP go to Setup > System > Reporting Tools 2 sets of folders created – Data Connections and Reports, then a set of folders for each GP company
Reporting Tools Setup Normal folder structure for each company The same structure existso for Data Connections and Reports. Each GP module you use will have a set of reports Tweet about this: @GPUG, #GPUGDetroit, #GPUGExcelRpts, @jpfershy
To Infinity and Beyond! How to create ‘new’ reports? Method 1 - If you only want to see the data different ways, then just ‘Save As…’ As long as the place where you save it has access to the SQL server, the data can be refreshed
To Infinity and Beyond! How to create ‘new’ reports? Method 2 – Create a new data connection for your own custom SQL query. Tweet about this: @GPUG, #GPUGDetroit, #GPUGExcelRpts, @jpfershy
Method 2 Steps Create your custom query in SQL, test and save it. Open an existing Excel Report (I use the same series), go to Data > Connections > Properties > Command Text Paste your query over the existing statement in the window. Click ‘Export Connection File’. Give the new odc file a unique name and save it. Cancel out of the Connections window.
Method 2 Steps Open a new Excel file and go to Data > Existing Connections > Browse… find your saved odc file and click Open. Click Properties, change the connection name / description. Click OK in the Import Data window and Voila! Now you have a new custom Excel Report. Tweet about this: @GPUG, #GPUGDetroit, #GPUGExcelRpts, @jpfershy
Existing data connection window
In your new Excel file choose Existing Connection under the Data tab
Browse for your new ODC file and open it
Don’t forget to change the name and description of the data connection
Don’t forget to change the name and description of the data connection
Added bonus – Add one or more Slicers to dynamically filter data.
Slicers can be added for each column of data.
In my sample I chose the fiscal year and period. You can select multiple items using the icon I’ve highlighted
Extra Tips IF you create a SQL statement that the ‘rpt’ role doesn’t have permissions for (select or execute), the SQL objects used need to be added to the database role permissions; or a new custom ‘rpt’ role needs to be created and the appropriate windows users added to the role. In Excel 2013 and above, you can use ‘slicers’ in your reports to filter on one or more values. Access slicers by clicking anywhere on your downloaded table and select ‘Insert Slicer’ from the Table Tools Design menu
